Virtual Assistant – Tourism & Holiday Homes Operations

Position Overview:
The Virtual Assistant will support the daily operations, communications, and coordination for a growing holiday homes and tourism company. This role requires a detail-oriented, organized, and proactive professional who can manage multiple tasks such as guest communication, online listings, pricing updates, calendar management, and coordination with housekeeping and maintenance teams.
The successful candidate must be comfortable working independently, handling international guests, and managing online systems for short-term rentals.
Key Responsibilities:
1. Guest Communication & Booking Management
Respond promptly to guest inquiries via Airbnb, ---------- , WhatsApp, and email.
Handle pre-arrival, check-in, and post-stay communications in a professional manner.
Manage booking calendars and ensure no double-bookings.
Coordinate guest issues or requests with the operations team on the ground.
Send arrival instructions, welcome messages, and collect required guest documents as per UAE tourism law.
2. Listing & Platform Management
Update property listings, descriptions, and photos across OTA platforms.
Monitor pricing, availability, and reviews on Airbnb, ---------- , Expedia, etc.
Ensure rate parity across all booking platforms.
Upload promotions, discounts, and adjust minimum night stays when required.
3. Administrative & Operational Support
Prepare daily and weekly occupancy, revenue, and performance reports.
Coordinate with cleaners, maintenance staff, and suppliers remotely.
Assist with owner updates, invoices, and cost tracking.
Organize digital filing, contracts, and guest registration forms.
4. Marketing & Customer Relations
Support in social media posting or digital marketing campaigns if needed.
Follow up with guests for reviews and feedback.
Identify guest experience improvement opportunities.
5. Coordination with Revenue & Pricing Manager
Support implementation of pricing strategies and promotions.
Report booking trends, cancellation reasons, and market behavior.
Ensure calendar sync and accurate pricing across all systems.
Qualifications & Experience:
Diploma or Bachelor’s in Business, Hospitality, or related field preferred.
2+ years of experience as a virtual assistant or operations coordinator in hospitality, tourism, or property management.
Familiarity with platforms like Airbnb, ---------- , Expedia, and channel managers (Guesty, Hostaway, Cloudbeds, etc.).
Excellent written and spoken English (Arabic is a plus).
Strong computer literacy – Google Workspace, Excel, and task management tools (Trello, Asana, etc.).
Customer service-oriented and able to work independently with minimal supervision.
