OVERVIEW:
We are seeking a Full Charge Bookkeeper and Staff Accountant to handle the full spectrum of
accounting and bookkeeping responsibilities for Photonicare Corporation (internal) and its
clients (external). Our operations span wholesale distribution, direct-to-consumer
eCommerce, Amazon, and consulting services in various industries such as apparel and
finance.
This role requires a proactive, detail-oriented individual with strong expertise in wholesale,
ecommerce, inventory management, accounts receivable management, and service-based
accounting.
The successful candidate will be responsible for day-to-day bookkeeping, reconciliations,
financial reporting, and supporting management with insights for decision-making. Must be
very fluent in QuickBooks Online and experienced with ERP system integrations.
KEY RESPONSIBILITIES:
Bookkeeping and Accounting Operations
• Maintain the general ledger, chart of accounts, and monthly reconciliations.
• Manage accounts payable: vendor invoices and wholesale suppliers.
• Full cycle accounts receivable: preparation of daily/weekly/monthly customer invoices, follow up with customers on past-due accounts, respond to customer inquiries about billing, payments, and account issues, credit management, and maintaining customer credit limits and records.
• Payment processing and application: Record, verify, and deposit payments received via various methods (e.g., check, credit card, direct deposit).
• Prepare and review journal entries, accruals, credits, and adjustments.
• Handle multi-entity and multi-line accounting across physical product sales and service-based revenues.
Wholesale Distribution Accounting
• Record and reconcile bulk purchase orders, shipments, landed costs, and vendor terms.
• Manage B2B invoices, payments, credit memos, and chargebacks.
• Integrate and reconcile data from the ERP system with QuickBooks.
Ecommerce & Amazon Accounting
• Reconcile Shopify, Amazon Seller Central, PayPal, and merchant processor accounts.
• Track sales, returns, chargebacks, and sales tax across multiple jurisdictions.
• Integrate and reconcile data from eCommerce platforms and ERP system with QuickBooks.
• Monitor advertising spend (Amazon PPC, Meta Ads, Google Ads) vs. revenue impact.
Services & Digital Revenue
• Record and reconcile income streams from consulting contracts, marketing services, course/education sales.
• Track subscription and recurring revenue models (e.g., online courses, memberships).
• Maintain P&L reports for consulting/marketing campaigns.
Compliance
• Track and reconcile contractor 1099 payments.
• Ensure compliance with federal, state, and local tax filings.
• Work with outside CPA/tax advisor on quarterly estimates, annual filings, and strategic planning.
Financial Reporting & Analysis
• Prepare monthly, quarterly, and annual financial statements (P&L, Balance Sheet, Cash Flow) as well as Accounts Receivable aging reports and performance dashboards (e.g. DSO, days delinquent)
• Develop segment-level reporting: wholesale vs. DTC ecommerce vs. Amazon.
• Provide margin analysis by channel (Amazon, Shopify, wholesale).
• Generate budget vs. actual reports and highlight variances.
• Forecast cash flow, working capital, and inventory financing needs.
Systems & Process Management
• Utilize QuickBooks Online (QBO), and ERP system for day-to-day accounting.
• Integrate third-party tools such as Shopify, Amazon and Avalara.
• Maintain clean books ready for tax filing, audits, and financial reporting.
• Develop and enforce internal controls and best practices to ensure financial integrity.
QUALIFICATIONS:
• Bachelor’s degree in Accounting, Finance, or related field.
• Minimum of 10 years of US bookkeeping/accounting experience (wholesale and direct-to-consumer ecommerce strongly preferred).
• Advanced knowledge of QuickBooks Online.
• Experience with ERP systems, Shopify, Amazon Seller Central, and multi-channel ecommerce reconciliations.
• Strong knowledge of U.S. GAAP and small business accounting practices.
• Proven ability to manage accounts receivable, inventory accounting, and COGS allocation.
• Proficiency in financial reporting, analysis and forecasting as well as preparing books for CPA review and tax filings.
• Strong Microsoft Excel/Google Sheets and data analysis skills.
• Excellent English communication skills (written and spoken); ability to collaborate with management, operations, customers, vendors and external contacts.
• Strong attention to detail, organizational skills and proactive problem solver.
• Ability to prioritize, multi-task, and balance conflicting deadlines.
• Highly motivated and able to complete tasks accurately and timely with minimal supervision.
• Ability to work U.S. time zone (EST).
