Legal Billing & Accounting Specialist

About the Role
RFJ Law Firm is looking for a detail-oriented Legal Billing & Accounting Specialist to join our dynamic team. In this role, you’ll support the firm’s financial operations, including legal billing, accounts receivable and payable, and collections.

This is a key position for someone who enjoys staying organized, values accuracy, and takes a proactive approach to problem-solving in a legal or professional services setting.

Key Responsibilities

- Accounts Receivable

Prepare and send accurate client invoices.
Track incoming payments and ensure timely collections.
Work closely with our team to issue demand letters and assist with collections efforts.

- Accounts Payable

Monitor and record vendor bills.
Coordinate payment schedules and obtain approvals with our administrator, Rachel.
Follow up on any outstanding vendor accounts.
Clio Legal Software Management
Maintain and update billing data within Clio.
Make sure that you remind the team to enter their time Clio.
Add deadlines, generate financial reports, and clean up outdated records (including data from the past eight years).

- Collections Support
Collaborate with Anna to manage and send demand letters.
Coordinate with external collection attorneys when needed.

** Qualifications

Proven experience in billing, accounting, or finance (legal billing experience is a strong plus).
Familiarity with Clio or similar legal practice management software is preferred.
Strong organizational skills and keen attention to detail.
Comfortable using technology, spreadsheets, and billing platforms.
Ability to manage and prioritize multiple tasks independently.
Excellent communication and follow-up skills.
At least 2 years of experience in a similar role.
