JOB OVERVIEW

The role of Quotation Staff is to prepare and manage quotations for products or services offered by the company. This includes working closely with costumers, understanding their requirements, sourcing materials, calculating costs, and ensuring that all quotes are accurate, timely, and aligned with company pricing strategies.

Key Responsibilities:
1. Quotation Preparation
- Review costumer inquiries and requirements to prepare detailed and accurate quotations.
- Gather and analyze all necessary information, such as project specifications, materials, labor, and delivery costs.
- Use pricing tools, software, or manual calculations to develop competitive and profitable quotes.
- Ensure all quotations comply with the company's pricing structure and profitability goals.
2. Costumer Communication
- Communicate with costumers to clarify their requirements, provide additional details, and explain quotes.
- Address any costumer inquiries or issues related to quotes, ensuring a high level of costumer service.
- Follow up on submitted quotations to answer questions, negotiate terms, and close sales.
3. Collaboration with Internal Teams
- Work with the sales, procurement, and production teams to gather the most up-to-date cost information and ensure accurate quotes.
- Collaborate with the engineering or design teams to ensure technical feasibility and cost-effectiveness of quoted solutions.
- Coordinate with the inventory or materials team to check product availability and lead times.
4. Record Keeping and Documentation
- Maintain accurate records of all quotes issued, including pricing, client details, and project specifications.
- Document any changes or updates to quotations as per costumer requests or company policy.
- Track the status of sent quotes and report conversion rates and any pending follow-ups.
5. Review and Adjust Quotes
- Revise quotes as necessary based on changes in costumer requirements, material costs, or project scope.
-Regularly update pricing and cost structures to ensure competitiveness and profitability.
6. Quote Follow-up and Support
- Track the progress of quotes, ensuring that all costumer inquiries are addressed promptly.
- Assist in closing deals by ensuring that the final quote meets both costumer expectations and the company's profitability goals.
- Provide necessary support during contract negotiations and approvals.
7. Compliance
- Ensure that all quotes comply with company policies and industry regulations.
- Adhere to timelines for quote submission and ensure timely delivery to clients.
8. Continuous Improvement
- Provide feedback on the quotation process to improve efficiency and accuracy.
- Stay informed about industry trends and changes in pricing that may affect quotes.

Requirements:
- Bachelor’s Degree in Business, Administration, Sales, or a related field (preferred).
- Previous experience in a quotation or pricing role, preferably in a manufacturing, construction, or sales environment.
- Strong analytical and mathematical skills.
- Proficiency in Microsoft Suite (Excel, Word, PowerPoint) and experience with quotation software or ERP systems.
- Excellent communication and negotiation skills.
- Strong attention to detail and the ability to work under pressure.
- Ability to work well both independently and as a part of a team.
