Position Overview
We’re looking for a Finance & Payroll Coordinator to help organize, track, and report on weekly financial activity across Steady Horse.
This role is responsible for ensuring accurate payroll, managing expense documentation, maintaining financial reports, and supporting the Operations Director with clean, up-to-date records.

You’ll work closely with Ky (Operations Director) and collaborate with other department heads as needed for payroll coordination and expense approvals.
About Steady Horse
Steady Horse is an online horsemanship education brand that helps riders build confidence, safety, and connection with their horses through calm, relationship-based training.
We operate several membership programs and coaching tiers, serving students around the world through video-based training, webinars, and online support.
Responsibilities
• Prepare and process weekly payroll for all tea
• Track commission payouts (sales, ads, and affiliate) and verify accuracy against reports.
• Maintain organized records of hours worked, payments sent, and receipts.
• Reconcile invoices and weekly business expenses.
• Maintain a financial tracking sheet with budget vs. actuals for leadership visibility.
• Update and file weekly financial summaries in Google Drive.
• Communicate with Operations and leadership to flag discrepancies or unexpected expenses.
• Ensure all financial data remains accurate, confidential, and audit-ready.
• Update and maintain an Airtable database for payroll tracking, expense logs, and financial records.
• Provide weekly finance reports every Friday (Central U.S. time).
• Assist with periodic financial snapshots, monthly summaries, or audits as needed.
• Other duties as assigned related to finance, reporting, and payroll organization.
Qualifications
• 1–3 years of experience in bookkeeping, accounting, or payroll coordination.
• Familiarity with Google Sheets / Excel, PayPal, and cloud file management.
• High attention to detail and excellent organizational skills.
• Comfortable working with financial data and reconciling reports.
• Strong written and verbal English communication.
• Reliable, trustworthy, and discreet with sensitive information.
• Ability to work independently and meet deadlines consistently.
• Experience with QuickBooks, Wave, or similar accounting software is a plus (not required).
• Prior experience supporting online or remote teams preferred.
Technical Requirements
• Reliable computer and secure internet connection (25 Mbps download / 10 Mbps upload).
• Comfortable working with Airtable, Google Workspace (Sheets, Drive, Docs, etc.), and Slack.
• Ability to meet weekly reporting deadlines and attend occasional finance check-ins via Zoom.
Other Duties as Needed
This role may occasionally include assisting with:
• Special reporting requests from leadership.
• Commission breakdowns or affiliate tracking.
• Documentation of new systems or finance procedures.

Flexibility and accuracy are key — this position may evolve slightly as the company grows.
Schedule & Pay
• Approximately 10–12 hours per week, flexible scheduling.
• $80/week, paid weekly via PayPal (U.S. Friday).
• Communication primarily through Slack and Google Drive.
