Hands-Off Investing is a real-estate investment firm that helps accredited investors earn predictable, passive income through our real-estate debt fund and select private-equity deals. Investor capital is deployed through our lending company, Coastal Capital Lending, which funds experienced real-estate borrowers via short-term, real-estate-backed loans. We operate on trust, transparency, and consistency.

ROLE SUMMARY
We’re hiring a resourceful, detail-driven Executive Assistant to support leadership. You’ll manage multiple inboxes, maintain a seamless calendar, and keep investor-facing and marketing tasks moving. This is a fast-moving, founder-led environment.

SCHEDULE
Full-time, Monday–Friday, 8:00 AM–5:00 PM Pacific Time (night shift in PH).

CORE RESPONSIBILITIES
Email & Organization: Manage 4 inboxes using a structured labeling system; draft professional replies; track follow-ups.
• Calendar & Scheduling: Maintain my calendar with protected deep-work blocks; schedule investor calls, podcast interviews, tea ---------- etings; manage annual events.
• Marketing & Admin: Simple webinar prep; schedule posts (LinkedIn, Instagram, Facebook, YouTube); organize/create Loom videos; research & track podcast outreach.

REQUIRED SKILLS & EXPERIENCE
• 2+ years supporting executives/operations in a fast-moving or founder-led org
• Excellent written English; calm, professional tone
• Proficiency: Google Workspace (Docs, Sheets, Calendar, Drive), Loom, basic Excel/Sheets formulas
• Highly organized, proactive, discreet

Step 3 — What to Include in Your Email
Please include the following items in a single email:

Task 1: Prioritization Exercise
Imagine it’s Monday at 9:30 AM PST. You’ve just opened your inbox and see six new messages.

1. Rank them from 1 (highest priority) to 6 (lowest priority) — the order you would handle them.
2. Write 1–2 sentences explaining why you chose your top three priorities.

The six messages:
*Investor intro requests a 15-minute call “this week.”
*Podcast host asks for 3 topic ideas by today 3:00 PM PT.
*Abby has a sales call in 25 minutes; Zoom link missing.
*Newsletter auto-receipt (no action required).
*Webinar invite goes out tomorrow; links need checking.
*Borrower asks if wire cleared (needs Abby’s input).

Task 2: Email Draft
Draft a short email (maximum 120 words) to reply to an imaginary podcast host who requested 3 topic ideas by today 3:00 PM PT.

Your message must begin with:

“Hi (Name), This is (Your Name), Abby’s assistant. I got to this email before she did and thought you’d appreciate a speedy reply…”

Provide three short topic ideas and confirm you’ll meet the deadline.

Task 3: Podcast Spreadsheet Test
1. Open this Google Sheet (view-only link):

2. Click File > Make a Copy to create your own editable version.

3. Rename your version:
HOI – Podcast Outreach Test – [Your Name]

4. In the Outreach tab, add 3 podcasts that fit any of these themes:

*Real estate investing, passive income, or personal finance
*Business, founders, or entrepreneur interviews
*Wealth-building or financial freedom topics

5. Fill in all columns (Podcast Name, Contact Info, Why This Podcast, Date, Status, Next Step).

6. Go to the Metrics tab, find the formula error, and fix it.
Correct it and write one short explanation in cell B5 (Fix Notes) describing what you changed.

7. Share your sheet:
Share > Anyone with the link > Viewer
Then include that link in your email.

Task 4 - 90-second Video:
Record a short (90-second max) Loom or YouTube video answering:

*Who you are and why this role excites you
*How you prioritized the six tasks
*What you fixed in the spreadsheet

Include the link in your email if you’d like to stand out.

Task 5 - Take Predictive Index Survey: Thank you for your interest in starting a new career with us.
