About Us
We are a U.S.-based Short-Term Rental (STR) Management Company built by investors for investors. We manage properties across multiple states, delivering 5-star guest experiences while maximizing owner returns. Our company runs on EOS, and we’re scaling aggressively.
We already have a strong team of 5 Filipino VAs handling guest support and general admin. Now we need a growth-minded Head of Operations who can step in as an Integrator — running the team, building systems, and helping us scale from 50 units ? 100+ without breaking.
Role Overview
The Head of Operations is responsible for:
• Leading and managing our VA team (currently 5, growing).
• Running EOS meetings (L10s), managing Rocks, and keeping our scorecard accountable.
• Creating and enforcing SOPs across guest support, property onboarding, cleaning/maintenance coordination, and owner communication.
• Driving growth enablement by ensuring owner satisfaction, fast property onboarding, and scalable processes.
• Acting as the Owner’s right-hand, ensuring Vision becomes Execution.
Responsibilities
• Lead, mentor, and hold accountable a remote team of 5+ VAs.
• Run weekly L10 meetings, track Rocks, and deliver a clear Scorecard weekly.
• Ensure guest experience stays at 4.8+ average rating across platforms.
• Own the property onboarding process — from signed contract ? live listing.
• Conduct quarterly owner check-ins (with or without company Owner present).
• Deliver growth-enabling reports: new units onboarded, churn risk, referral pipeline.
• Document and continually improve SOPs to handle 2x–3x unit growth.
• Build alignment and communication across all departments — Guest Support, Cleaning, Revenue Management, and Owner Relations — ensuring everyone is working toward shared goals.
• Coordinate between markets to maintain consistent service quality, standards, and guest experience.
• Serve as the central point of accountability, making sure the cleaning teams, guest support, and revenue manager are synchronized on priorities and timelines.
• Hold cross-department meetings to identify bottlenecks, resolve issues, and improve collaboration.
• Develop and maintain clear SOPs for inter-team handoffs (e.g., turnovers, maintenance alerts, revenue updates).
• Foster a culture of ownership, accountability, and teamwork among remote staff and on-the-ground cleaners.
• Translate high-level company objectives into actionable steps for every team, ensuring smooth execution across all functions.
Key Outcomes (KPIs)
• 95%+ guest issues resolved without Owner escalation.
• 100% of new properties onboarded within 14 days of contract.
• 90%+ owner retention year over year.
• EOS L10 meetings run weekly, with 75% of Rocks and To-Dos completed on time.
• SOPs fully documented and operational within 60 days.
• Full operational audit done within 90 days
Qualifications
• 10+ years experience in operations, business process leadership, or BPO management.
• Proven track record managing teams of 10+ people.
• Strong background in creating KPIs and holding people accountable.
• Familiarity with EOS / Traction strongly preferred.
• Exceptional English communication skills (written & verbal).
• Growth mindset: not just a caretaker, but a builder.
