JOB OVERVIEW

Full-Time (30hrs/week) | $5-8 AUD/hour | Remote | Sydney AEST Hours | Long-Term Role

We’re hiring a confident, caring and detail-oriented Virtual Customer Experience Officer to support two thriving Australian businesses:

- Carte Blanche Hair – a luxury hair salon delivering exquisite, high-touch experiences for self-expressed clients
- Fixio Physiotherapy – a progressive physiotherapy clinic offering intelligent, empathetic care with clinical excellence

This is a key role where you are the front line; the voice, the organiser, and the calm hand that ensures our client journey is flawless. You’ll support our in-salon and in-clinic teams by keeping bookings smooth, clients informed, and back-end tasks running efficiently.

There are 3 key components to this role:
1. Receptionist duties - you will be manning 2 phone lines throughout the entire shift
2. Administration - there will be recurring daily and weekly tasks that need completing within each shift
3. Project management - there will be a set number of hours dedicated to assisting in projects to improve the businesses

Key Responsibilities

1. Receptionist
Answering and making phone calls via DialPad and CliniqFlow
Booking and managing client appointments using Fresha (salon) and Cliniko (clinic)
Responding to phone, text and email enquiries with clarity and warmth
Guiding clients toward the right services and practitioners

2. Administration
Supporting admin tasks like inbox management, calendar support, and data entry. A thorough understanding of Google Workspace is necessary.
Coordinating with team members via Slack, WhatsApp, and Outlook
Handling sensitive client and HR information with discretion
Working collaboratively with 1–2 other reception/admins and reporting directly to the business owners

3. Project Management
Ad hoc projects where critical thinking and initiative are required such as the design of new resources for the teams, new ways in creating efficiency for the teams and yourself and the creation of policies and procedures.



Hours & Availability
Must be available in Sydney (AEST) timezone Mon- Fri 8am - 1pm and Sat 8am - 12pm
You will need to be available for ALL of the hours

- Starting at 30hrs per week (with potential to grow to 40hrs/wk)
- Flexibility to cover other shifts when required
- Potential for career growth into a leadership/practice manager role encompassing invoicing, billing, additional project work and training of other team members


*****Please note that no other work is permitted during rostered hours due to workload



We’re Looking For Someone Who Is…

A confident and kind communicator with a clear phone manner

Experienced in reception, admin, or client-facing roles (bonus if in hair/healthcare)

Fluent in English, with strong conversational, writing and spelling skills

Highly competent with Google Workspace (Docs, Sheets, Slides, Gmail, etc.)

Comfortable learning and navigating systems like Fresha, Cliniko, CliniqFlows, DialPad

Emotionally intelligent, organised, and able to multitask

A proactive team player who values both excellence and warmth



Contract & Compensation
Rate: $5-8 AUD/hour (this will depend on experience and proficiency in required skills)
Initial 3-month trial contract
Role begins within 1 week with training to start
Long-term role with increasing hours and potential to grow to a full time role (40hrs)
