Virtual Assistant & CRM Systems Architect (Keap ? Go High Level Migration)

Preferred Physical Therapy | Glendale, Arizona, USA (Remote)

We’re looking for a highly experienced Virtual Assistant / CRM Architect to help our physical therapy clinic migrate from Keap Max Classic (Infusionsoft) to Go High Level (GHL) — and build out a complete, automated system that supports marketing, communication, and our patient membership program.

If you’ve successfully migrated CRMs before, built AI chatbots and voice agents, and know Go High Level inside and out — we want you on our team.

Preferred Physical Therapy helps adults over 50 in Glendale and Peoria, Arizona get out of pain, regain strength and mobility, and live free from pills and surgery. We’re expanding our use of technology to make our communication and care experience even better — and we need a systems expert to make it happen.

???? Your Main Responsibilities

Migrate CRM systems from Keap Max Classic to Go High Level, including contacts, tags, and automation flows.

Rebuild and optimize existing Keap campaigns (email, SMS, call follow-ups, review requests, and appointment reminders) inside GHL workflows.

Handle Twilio number porting and setup of 2-way texting, calling, and voicemail features.

Design and build AI chatbots for website and Facebook integration to capture and qualify leads.

Develop AI voice agents to assist with inbound calls, reminders, and patient follow-ups.

Create a membership site in GHL for our “Preferred+” wellness program, with gated content, billing automation, and drip lessons.

Integrate calendars, funnels, and lead pipelines into a clean, trackable system.

Document processes and create training materials for our staff.

???? You’ll Be a Great Fit If You Have:

? Proven experience migrating CRM systems (Keap ? Go High Level preferred)

? Strong understanding of marketing automation, pipelines, and workflow logic

? Hands-on experience creating AI chatbots, AI voice agents, or Twilio automations

? Skills in building membership or online learning sites using Go High Level

? Proficiency in Zapier, Make (Integromat), or API-based integrations

? Excellent English communication and clear documentation skills

? High attention to detail and ability to manage projects independently

Current CRM: Keap Max Classic + TurboDial

New Platform: Go High Level (with HIPAA compliance add-on)

Integrations: Twilio, Google Calendar, Stripe, Zapier, ChatGPT API

Optional Tools: Loom, Notion, Canva, ClickUp

???? Work Details

Remote position (Philippines-based)

20–30 hours/week to start, with potential for ongoing role

Flexible schedule but requires consistent weekly updates and availability for short meetings in U.S. time zone (Arizona/MST)

$7–$10 USD/hour (negotiable based on experience)

Project-based bonuses for successful milestones (migration, chatbot setup, membership launch)
