We’re looking for a proactive, detail-oriented Executive Assistant to support our CEO in managing daily operations, communication, and key initiatives. This is a dynamic, hands-on role where no two days are the same — ideal for someone who thrives in a fast-paced construction environment and enjoys helping drive business forward.

Key Responsibilities

Manage the CEO’s calendar, schedule meetings, and coordinate travel and appointments.

Serve as the main point of contact between the CEO, internal teams, and external partners.

Prepare correspondence, meeting notes, and follow-up items to keep projects and priorities on track.

Assist with contract organization, permitting documentation, and project coordination.

Support proposal and bid preparation efforts, including gathering data and formatting documents.

Help manage inboxes, calls, and internal communications with professionalism and urgency.

Maintain organized digital and paper filing systems for easy access to project and company documents.

Assist with reports, budgets, and administrative tasks to help streamline executive workflow.

Qualifications

3+ years of experience as an Executive Assistant, preferably in construction, real estate, or a similar industry.

Excellent written and verbal communication skills.

Strong organizational and time-management skills with a “can-do” attitude.

Ability to handle sensitive information with discretion and professionalism.

Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort learning new systems (e.g., Foundation, Project HQ, WorkMaxx, etc).

Comfortable in a dynamic, entrepreneurial environment where priorities can shift quickly.
