Position Overview
We are seeking an experienced and dependable professional with at least five (5) years of combined experience in accounts receivable, collections, and executive support. This role requires a strong communicator with excellent English and writing skills who can manage financial responsibilities while providing high-level administrative assistance to company leadership. The ideal candidate is organized, detail-oriented, and capable of balancing accuracy with efficiency in a fast-paced environment.
Key Responsibilities
Accounts Receivable & Collections (60%)
Prepare and issue accurate customer invoices, account statements, and credit memos.
Monitor accounts receivable aging and follow up promptly on overdue balances.
Communicate professionally with customers via phone and
Record and reconcile all payments, deposits, and credits within the accounting system.
Investigate billing discrepancies and resolve payment issues in coordination with sales and operations.
Maintain up-to-date records and prepare monthly AR and cash flow reports.
Support month-end closing activities, including AR reconciliations and bad debt reporting.
Executive Assistant (40%)
Provide administrative and executive support to senior management, including managing calendars, meetings, and travel arrangements.
Draft, proofread, and edit professional correspondence, reports, and presentations.
Maintain confidentiality with sensitive company and financial information.
Organize files, contracts, and important company records (digital and physical).
Assist with vendor communications, client correspondence, and project coordination.
Prepare meeting agendas, take minutes, and follow up on action items.
Perform general office management duties and support leadership as needed.
Qualifications
Minimum of 5 years of experience in accounts receivable, collections, and/or executive administrative roles.
Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
Excellent English communication and writing skills — must be able to draft professional correspondence clearly and effectively.
Strong knowledge of accounting procedures and proficiency with accounting software (e.g., QuickBooks, NetSuite, or similar).
High proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
Exceptional attention to detail, organization, and follow-through.
Proven ability to handle multiple priorities while meeting deadlines.
Professional demeanor with discretion when handling confidential information.
