The Paul Group is a U.S.-based insurance agency specializing in Final Expense Life Insurance. We work with licensed agents nationwide to provide affordable coverage for seniors. We’re seeking a bilingual (English & Spanish) Virtual Office Assistant to help manage daily operations, communications, and support tasks that keep our team and agents organized and productive.
Position Overview
The Virtual Office Assistant will handle inbound and outbound calls, capture lead information, provide light technical support to agents, manage scheduling, and oversee shirt and badge orders. You will communicate with both English and Spanish-speaking agents and clients, ensuring professionalism and accuracy in every interaction.
Key Responsibilities
Manage inbound and outbound calls professionally in both English and Spanish
Record and update lead details accurately in the TPG CRM
Provide basic computer and software troubleshooting for agents
Manage executive and agent schedules using the CRM calendar
Coordinate appointments, reminders, and follow-ups
Maintain organized files and reports in OneDrive and CRM
Process and track shirt and badge orders for agents
Confirm shirt payments via Zelle and ensure transactions are recorded
Qualifications
Bilingual: Fluent in English and Spanish (spoken and written)
Excellent communication and customer service skills
Strong organizational and time management abilities
Proficient in Google Workspace, Zoom, and CRM tools
Basic tech troubleshooting ability
Prior experience in insurance, lead management, or customer service preferred
Performance Expectations
Maintain 95%+ call response rate
Ensure accurate CRM entries and timely follow-ups
Promptly resolve or escalate minor agent tech issues
