About the Role
We’re hiring a full-time Virtual Assistant to manage inside sales, lead qualification, and social media coordination. You'll be the first point of contact for new leads, helping them feel welcomed, heard, and guided — while booking only qualified prospects for our estimators. You’ll also play a growing role in managing reviews and building social content with our team.
This is a performance-driven role for someone who thrives on communication, consistency, and care.
What You’ll Do
Lead Management & Inside Sales
Qualify each lead to ensure they are a good fit (location, service type, kitchen size, budget)
Use our CRM: Jobber to book and manage estimates
Track and move leads through GoHighLevel (Qualified, Unqualified, Follow-Up, Won)
Provide a great first impression of Kitchen Makeovers and clearly communicate our services
Follow up via phone, text, and
Leave detailed notes and ensure a smooth handoff to sales reps
Review & Reputation Management
Respond promptly to Google and
Social Media Coordination
Reply to comments and
Coordinate with our team (via Slack) to request and collect before/after photos and video footage
Organize and edit media files in Google Drive
Post engaging content across platforms, showcasing our refinishing/refacing transformations
Eventually assist with basic video editing for reels or stories
Outbound Engagement
Follow up with past clients to ask for reviews and referrals
Make cold calls to local contractors, cabinet suppliers, and painting companies to build connections
Future Responsibilities
Performing online estimates for pre-qualified leads

Jobber – for estimate booking and customer records
Slack – for team communication
Google Workspace – for Drive, Docs, and scheduling
Meta Business Suite – for Instagram/Facebook
Who You’ll Work With
Anesha (Training Buddy - Currently in this role) – First 2 weeks, she'll help you learn the ropes
Andrew (Sales Manager) – Ongoing manager for coaching and weekly 1:1 development
Schedule
Week 1–2: Monday to Friday, 9:30 AM–6:00 PM PST
Week 3+ (Ongoing): Tuesday to Saturday, 9:30 AM–6:00 PM PST
*Must be available during PST hours — this is not a flexible schedule
Requirements
Excellent spoken and written English (clear, professional, and friendly)
1–3 years of experience in inside sales, customer service, or a VA sales/admin role
A quiet environment to work in; working from cafes is not allowed
Experience qualifying leads, handling objections, and booking appointments
Familiarity with CRMs (Jobber, GoHighLevel, or similar tools)
Comfortable managing social media replies and posting content
Organized, consistent, and detail-oriented
Self-starter who thrives working remotely and independently (especially on Saturdays)
