Position Overview
The Receptionist is the first impression of the firm — the voice and face that sets the tone for every client interaction. This role requires grace under pressure, strong organizational skills, and warm, professional communication. The right candidate is proactive, emotionally intelligent, and eager to grow within a mission-driven legal team.
Key Responsibilities
Front-of-House & Client Experience
• Greet clients and visitors warmly; create a welcoming, professional phone calls.
• Answer, triage, and route incoming calls via Elevate App and using Slack to communicate to teams.
• Manage and update phone hunt groups, ensuring proper log-in/out and call flow during business hours.
• Take notes in LeadDocket and FileVine Software
• Maintain appearance and organization of the reception and conference areas.
Administrative & Intake Coordination
• Serve as the initial contact for potential clients — collect intake information with empathy and accuracy.
• Enter and manage lead data in Lead Docket; communicate and schedule / transfer to Intake Department
• Support the Intake and Operations teams with call tracking, calendaring, and follow-ups.
• Collaborate with the Strategic Assistant and Ops Director to streamline office communications and scheduling workflows.
Operational Support
• Assist with daily staff check-ins and internal communications.
• Participate in culture-building initiatives, client appreciation mailings, and marketing projects.
• Maintain confidentiality and uphold professional and ethical standards at all times.
Qualifications
• Prior experience in a law firm, medical office, or professional service setting preferred.
• Strong phone etiquette and emotional intelligence when interacting with clients in crisis.
• Proficiency in Microsoft Office Suite, Teams, and CRM/case management software (Lead Docket and Filevine a plus).
• Excellent written and verbal communication skills.
• High attention to detail and follow-through.
• Ability to prioritize competing demands while maintaining calm professionalism.
