PurityLabs General Virtual Assistant SOP (Shopify & eCom Operations)
Position: General Virtual Assistant (Part-Time)
Rate: $5 USD/hour
Hours: 10–15 hours per week
Supervisor: CEO / Creative director

1. Role Overview
You are responsible for helping maintain and update our Shopify stores, supporting daily eCommerce operations, and executing small but important digital tasks that keep the brand running efficiently.
You will receive clear task lists and deadlines inside Notion, or Slack.
2. Core Responsibilities
A. Shopify Store Maintenance
Make small theme adjustments (text edits, layout tweaks, image swaps, etc.).
Duplicate pages, sections, and products when launching new SKUs or variants.
Upload new product images, descriptions, and pricing as instructed.
Add, update, or hide products based on stock or campaign timing.
Ensure product pages look consistent across desktop and mobile.
B. Product & Collection Management
Duplicate and adjust product listings for new regions or bundles.
Maintain clean naming conventions for all products and variants.
Assign products to correct collections and tags.
Verify that metafields, size charts, and ingredient lists are consistent.
Update cross-sell and upsell product relationships when needed.
C. Content Updates
Update homepage banners and images (instructions will be provided).
Replace outdated seasonal content (e.g. Black Friday banners).
Check that links and CTAs on pages are working correctly.
D. Data Entry & Admin
Keep Google Sheets updated with current product prices, SKUs, and inventory.
Track new product launch timelines and provide status updates.
Copy-paste data between tools (Shopify, Klaviyo, Notion, etc.) accurately.
Format spreadsheets neatly (consistent naming, alignment, etc.).
E. Quality Control
Check for broken links, missing images, or spelling errors on the site.
Test checkout process after major theme edits.
Report bugs or issues immediately in Slack with screenshots.
3. Tools Used
You must become comfortable working in:
Shopify Admin – main platform for all store edits.
Google Sheets / Docs – data entry and reporting.
Slack – daily communication and task updates.
Notion – task management and SOP references.
Canva or Figma (optional) – light image resizing or formatting (not design).
4. Workflow
Daily (when assigned tasks exist):
Check Slack for new instructions.
Confirm you’ve received them.
Execute tasks in the correct priority order.
Report completion with screenshots or links.
Weekly:
Update the “Shopify Update Log” (Google Sheet) with tasks completed.
Perform a light audit:
Randomly check 3–5 product pages for consistency.
Confirm all images load and prices are correct.
5. Communication Standards
Response time: Within 12 hours during weekdays.
Reporting: End of each shift, send a quick summary in Slack:

Always include screenshots or links when confirming completed tasks.
Ask questions early — never guess if instructions are unclear.
6. Quality Expectations
Accuracy > Speed. Double-check your work before marking complete.
Maintain a consistent aesthetic (spacing, capitalization, font size).
Treat the brand store as if it were your own — details matter.
Never edit live themes without backing up or duplicating first.
Always work in the duplicate theme version unless explicitly told otherwise.
7. Security & Access
Use only approved logins.
Never share store access, passwords, or files externally.
If unsure about an unfamiliar change in Shopify ? message your supervisor before proceeding.
8. Performance & Growth
Weekly task completion rate: 95%+ on time.
Accuracy rate: 98%+ (no repeated errors).
After 3 months of consistent, high-quality work:
