Position Overview
We are seeking a Maintenance Coordinator to join our growing operations team. The Maintenance Coordinator acts as the central hub for all maintenance requests — managing work orders, communicating with technicians, coordinating with tenants, property managers, and owners, and ensuring projects are completed efficiently, on time, and within budget.
This is a fast-paced and communication-heavy role suited for someone with exceptional organizational skills and experience in property maintenance or construction coordination.
Key Responsibilities
- Receive, review, and assign maintenance requests to field technicians or subcontractors.
- Communicate daily with tenants, property owners, and HOA representatives to coordinate access, scheduling, and project expectations.
- Track work order progress from start to finish using project management software (e.g., Buildertrend, Jobber, or Service Fusion).
- Obtain quotes, materials, and necessary approvals for repair and renovation jobs.
- Ensure all work meets company standards for quality and timeliness.
- Maintain accurate documentation of communications, work orders, and completion photos.
- Support the operations manager and project supervisors with scheduling and reporting needs.
- Follow up on outstanding invoices and work orders to ensure smooth billing and completion.
Qualifications
- Proven experience as a Maintenance Coordinator, Service Dispatcher, Project Assistant, or Construction Administrator.
- Strong communication and multitasking skills — able to handle multiple work orders simultaneously.
- Knowledge of general maintenance tasks (plumbing, electrical, HVAC, carpentry, etc.).
- Familiarity with construction management or maintenance software (Jobber, ServiceTitan, Buildertrend, etc.).
- Ability to read and understand work scopes, estimates, and service agreements.
- Professional, positive demeanor with strong customer service orientation.
- High attention to detail and follow-through.
Preferred
- Experience in property management or as part of a general contracting team.
- Bilingual (English/Spanish) a plus.
- Knowledge of local building codes and permitting processes.
