Location: Remote
Type: Part-Time to Full-Time Transition
Reports to: Founder, Vernon Foster

Mission

Your mission is to make Vernon’s professional and personal life run like a well-oiled machine. You’ll be the right hand that ensures nothing falls through the cracks — managing communication, coordinating projects, handling logistics, and maintaining the systems that allow the founder to stay in their zone of genius: strategy, creation, and relationships.

This isn’t just calendar management — it’s about operational thinking, emotional intelligence, and proactive ownership. You’ll be the engine behind the scenes that keeps the founder focused, effective, and one step ahead.

Core Responsibilities:

1. Executive Support & Operations

Manage calendar with precision: schedule calls, travel, recording sessions, internal meetings, and personal appointments.

Anticipate needs ahead of meetings (prep materials, briefings, summaries).

Handle inbox triage and communication on behalf of the founder (emails, DMs, LinkedIn).

Track key projects and deadlines — ensuring deliverables are completed and nothing slips.

Maintain and optimize the founder’s operational systems (ClickUp/Notion/Google Workspace).

2. Client & Partner Coordination

Act as the point of contact for clients, collaborators, and podcast guests — handling scheduling, logistics, and prep materials.

Prepare follow-ups and summaries from client calls, interviews, and meetings.

Maintain CRM or client tracker to ensure follow-up and deliverables are consistent.

3. Event & Media Logistics

Coordinate podcast interviews, virtual events, and live experiences (guest comms, tech checks, reminders, assets).

Support with vendor coordination (designers, video editors, writers).

4. Personal Operations

Handle personal scheduling, reservations, travel planning, errands (virtual or local as possible).

Maintain founder’s personal calendar in harmony with work commitments.

Occasionally manage purchases, renewals, and household admin (Amazon, subscriptions, etc.).

5. Systems & Efficiency

Build and document SOPs for recurring processes.

Suggest and implement tools or automations to streamline operations.

Keep an eye on priorities — manage time, energy, and focus alignment.

Digitally fluent. You’re comfortable with tools like Google Suite, ClickUp/Notion, Airtable, Riverside, Slack, and CRM systems.

Trustworthy & discreet. You handle sensitive information with care and operate with integrity at all times.

Strong communicator. You write well, think clearly, and represent the founder’s voice professionally.

Flexible & adaptable. You thrive in a dynamic environment where priorities can shift quickly.

Ideal Background

3–5+ years of experience supporting a founder, CEO, or creative entrepreneur.

Experience in management, operations, or agency environments is a plus.

Comfortable juggling both business and personal executive support.

Familiarity with the world of tech, startups, events, and digital media is highly desirable.

Compensation

Commensurate with experience. Range: $3.95–$4.39/hr or $272-$400/month depending on scope and experience.

2 Week Trial to start, then mont-to-month with potential for full-time.
