Track accounts receivable, verify invoices, and manage purchase orders.
Pay vendors and subcontractors according to schedule.
Assist with budget tracking, financial summaries, and cash flow reports.
Organize documentation for year-end reporting and liaise with the accountant.

Administrative & Operational Support
Maintain organized digital files for contracts, permits, and financial records in Google Drive.
Keep company systems like Job Progress, Leap, and Google Workspace up to date.
Monitor company vehicle licensing, CVOR renewals, and compliance deadlines.
Assist with scheduling and internal communication between office and field teams.

Compliance & Documentation
Ensure all financial and HR documentation meets CRA and Ministry of Labour standards.
Maintain accurate payroll, employee, and subcontractor records.
Help document and improve Standard Operating Procedures (SOPs) for administrative and financial workflows.

Communication & Coordination
Respond to vendor, subcontractor, and customer inquiries about invoices or payments.
Communicate clearly with leadership about financial updates and timelines.
Support customer service follow-ups related to billing or payments.

What You Bring

Strong understanding of QuickBooks, HST/GST, WSIB, and PD7A remittances
Experience with Job Progress or similar CRM/project management tools (asset).
Excellent attention to detail and commitment to accuracy.
Highly organized, dependable, and self-directed.
Comfortable handling sensitive and confidential information.
Strong communication and documentation skills.

Performance Goals
Accurate and timely financial reports every month.
100% compliance with remittance and payroll deadlines.
Organized and up-to-date digital filing system.
Positive feedback from leadership on communication and reliability.

What We Offer

Flexible remote schedule.
Long-term growth potential with a respected local company.
Paid training in company systems (Job Progress, Leap).
