Overview
The Compliance and Documentation Coordinator is responsible for organizing, maintaining, and standardizing the company’s digital documentation across all departments. This role ensures that files, records, and reference materials are properly structured, easily accessible, and consistently updated — supporting smooth collaboration and operational efficiency across the organization.
Key Responsibilities
Develop and maintain a centralized digital filing system for all departments (e.g., HR, Finance, Operations, Marketing).
Ensure consistency in file naming, structure, and version control across shared drives and platforms.
Regularly audit folders and files to remove duplicates, outdated content, and ensure accuracy.
Coordinate with department heads to collect, organize, and update key documents, SOPs, and reports.
Support documentation of workflows, processes, and company templates for operational use.
Manage access permissions and data organization within platforms such as Google Drive, Notion, or SharePoint.
Maintain logs and summaries of documentation updates and communicate changes to relevant teams.
Provide guidance to tea
Qualifications
Bachelor’s degree in Business Administration, Operations Management, or related field (preferred but not required).
Proven experience in digital file management, documentation, or operations coordination.
Strong organizational skills and attention to detail.
Familiarity with cloud storage platforms (e.g., Google Workspace, SharePoint, Dropbox).
Excellent communication and coordination skills.
Ability to work independently and manage multiple tasks in a digital, fast-paced environment.
Preferred Skills
Experience creating or maintaining SOPs and documentation templates.
Knowledge of data privacy and file access protocols.
Basic understanding of project management or workflow tools

Company files are well-organized, easily searchable, and consistently formatted.
Documentation updates are completed on time and communicated clearly.
Teams can locate and use resources efficiently with minimal duplication or confusion.
