JOB OVERVIEW

We’re a creative tech agency working with leading hair & beauty brands across Australia and the US.
We’re looking for a detail oriented Project & Client Success Manager who loves structure, communication, and seeing projects cross the finish line. If you’re a natural organiser who thrives in a fast paced creative environment and takes pride in “owning the outcome,” you’ll love this role.

Hours: 24/week - or 3 full days Mon, Weds & Thurs each week
Reports To: Founder
Mission: Keep client projects running on time, clients updated weekly, and revenue protected by ensuring deliverables actually ship.

Purpose

This person is the heartbeat of YSS. Their job is to make sure:
• Every project has a clear owner, timeline, and next step
• Clients always know what’s happening
• Deliverables (web pages, EDMs, automations) move through the pipeline fast
• Weekly reports of project progress are shared with the team
• Projects are planned in Notion, and delivery time is measured
• You create SOP's

Core Responsibilities
Project Management (40%)
• Run weekly project updates (per SOP)
• Maintain Notion boards (status, owners, ETAs)
• Assign and chase tasks with designers, devs, and contractors
• QA deliverables before client review (links, flows, spelling, responsive check)
• Flag blockers + propose next steps (not just “this is stuck”)
• Host fortnightly sprint planning
• Keeping top line status across 10-15 projects at any given time

Client Success & Communication (30%)
• Draft and send weekly client recaps
• Reply to client queries within 48 hrs
• Log all feedback + decisions in Notion
• Schedule reviews, approvals, or content pickups
• Maintain client satisfaction dashboard (touchpoints, overdue items)
• Handle all incoming Loyalty queries, trouble shooting and customer service

Marketing & Delivery Coordination (20%)
• Schedule EDMs sends (from copy or brief)
• Coordinate YouTube uploads (titles, tags, thumbnails)
• Track social analytics from our Social Team
• Maintain asset folders (logos, copy, creative) for each project

Reporting & Visibility (10%)
• Post Weekly Ops Snapshot each Thursday:
• Project RAG status
• Completed vs. planned
• Risks / blockers
• Next 7 days plan
• Optional: light analytics (funnel health, content output)
