About Us

We are a digital growth agency based in Ireland, working with clients across hospitality, retail, services, and B2B sectors. We design, build, and grow websites and eCommerce platforms (mainly WordPress and Shopify) and provide digital marketing, UX, hosting, and ongoing support.

We are a small but fast-growing team, and we are looking for a reliable, detail-oriented Junior Project Manager & Operations Assistant to help us stay organised, on schedule, and efficient as we scale.

The Role

This role supports our COO and senior developers in managing day-to-day operations and ensuring smooth delivery of client projects. You’ll help maintain project boards, coordinate internal resources, manage documentation, track progress, and support basic reporting.

You will mostly work internally, with limited client-facing communication (mainly pre-approved status updates and debtor follow-ups).

This is a role for someone who enjoys organisation, structure, and process — and wants to grow within a digital agency environment. You will be expected to work on your own initiative and not waiting to be delegated to.

Key Responsibilities
A. Project Management Support

- Maintain and update ---------- boards — ensuring tasks are properly labelled, prioritised, and documented.
- Assist internal tea ---------- mbers with task updates and consolidate project summaries.
- Create and maintain templates (reports, checklists, status summaries) for the COO to review and approve.
- Prepare weekly progress summaries for each client/project, based on provided templates.
- Track project deadlines and flag risks or delays early.
- Assist with QA checklists — device/browser testing, form checks, content accuracy, and link validation.
- Manage client content and asset intake — follow up on missing files and confirm readiness for handoff.
- Coordinate file and folder management — keeping project documentation and client assets organised.
- Draft internal and client-facing update emails for review and approval.

B. Operations & Admin

- Maintain central spreadsheets for budgets, timelines, and resource tracking.
- Pull and compile time reports from internal systems.
- Update and maintain project handover documents, SOPs, and onboarding guides.
- Support basic invoicing and debtor follow-ups (send reminders, track payments, reconcile lists).

C. Resource & Workflow Coordination

- Help prepare weekly internal scheduling for designers and developers.
- Create internal checklists and ensure all process steps are completed before approval or handover.
- Track retainer client requests and ensure tasks are logged and clearly documented.

D. Internal Process Improvement

- Identify and document recurring bottlenecks or repetitive admin tasks.
- Suggest process improvements or opportunities for automation.
- Maintain and build the internal knowledge base and SOP library.

E. Communication & Reporting

- Prepare pre-approved client updates (progress summaries, minor delays, next steps) to be sent by account managers.
- Attend occasional client or internal calls (optional) to take notes and follow up on assigned actions.

Requirements

- 1–2+ years’ experience in a digital agency, web development, marketing, or operations support role.
- Excellent written and spoken English communication skills.
- Highly organised, detail-oriented, and comfortable managing multiple tasks.
- Strong familiarity with project management tools ( ---------- , Asana, ClickUp, etc.).
- Competent in Microsoft Excel and other office tools.
- Good understanding of web projects (awareness of WordPress, Shopify, hosting, and domains preferred).
- Reliable internet connection and comfortable working remotely with global teams.

Nice to Have

- QA and/or SEO experience.
- Knowledge of productivity tools (Notion, Loom, Figma).
- Exposure to digital marketing, SEO, or eCommerce platforms.

Full-time (40 hours per week).
Core hours aligned with Ireland time zone overlap (minimum 3–4 hours per day).
6-month probation period with potential for a long-term contract and progression.
