About Me

Hey there! I’m Sharayah, a Realtor and team leader with eXp Realty based in Newfoundland, Canada. My business is built around helping clients buy and sell homes while providing an elevated, modern, and seamless experience.

We’re growing fast and building out systems that match the high-touch service our clients expect. That’s where YOU come in.

I’m looking for a tech-savvy, detail-oriented, and creative CRM expert who can help me set up and automate my BoldTrail CRM (formerly kvCORE) so that our client journey runs like clockwork — from lead to lifelong client.

What You’ll Do

You’ll be responsible for setting up and automating my seller lead flow from start to finish, including:

CRM Structure & Organization

Set up lead stages (Hot, Warm, Cold, Sphere, Client, Ready for Questionnaire, etc.)

Build out pipelines and smart campaigns for each lead type

Automation Setup

When a lead is marked “Ready for Questionnaire,” automatically send them my Seller Questionnaire link

Once the seller completes the questionnaire:

Auto-extract key details and populate them in the CRM

Automatically send them my calendar booking link for a market analysis

After they book the market analysis:

Send a confirmation email (with what to expect and how to prepare)

Schedule a 24-hour reminder email before the appointment

Seller Workflow & Campaigns

If seller is not ready to list ? Add to nurturing funnel with scheduled follow-ups and task reminders

If seller is ready to list ? Automatically send:

“Next Steps” email

“Prep Your Home for Photos” checklist

Document request email (ID, VOID cheque, job title & employer)

Once listed ? Send “Your Home Is Live!” email

Once offer is accepted ? Send “Congratulations” email with key dates, tasks, and lawyer details form

One week before closing ? Send “What to Expect Before Closing” email

After closing ? Send:

“Thank You / Review Request” email

Move client into Past Client Nurture Funnel


Email
Design & Branding

Convert my existing plain-text email templates into BoldTrail’s advanced email format

Ensure all emails are visually branded and polished (I’ll provide my brand colors, fonts, and logos)

Save all emails as drafts within BoldTrail

Be prepared to edit after I've ran the system to ensure it works efficiently

What I’m Looking For

I’m not just hiring someone for a one-time project — I’m looking for a long-term partner who can grow with me. Once this seller automation is complete, there will be future projects for:

Buyer workflows

Client nurture sequences

Additional automations

New agent onboarding

But first — I want to make sure we’re the right fit.

How the Hiring Process Works

I’ll be hiring 2–3 applicants to complete one paid trial task.
This allows me to see:

Your communication style

Attention to detail

Creativity and problem-solving

Ability to follow instructions

From there, I’ll choose one person to continue with the full automation build and potentially become part of my ongoing team.
