About Me

Ten years ago, I came to the United States with nothing but a laptop and a relentless drive to succeed. I started in real estate, doing everything myself — answering emails, coordinating showings, managing listings, updating CRMs, designing marketing flyers, and keeping track of contracts at 2 a.m.

Over time, I learned that the key to growth isn’t doing more — it’s doing what matters most. To do that, I need the right person beside me: someone who’s organized, dependable, proactive, and takes pride in running a business like it’s their own.

I’m looking for a Virtual Executive Assistant who can help me manage daily operations, communication, and organization so I can focus on scaling the business.

The Role

You’ll be the operational backbone of my real estate business — managing admin systems, supporting transactions, handling client coordination, and ensuring every detail is handled with precision.

Must-Haves

- Fluent English (spoken & written) with a neutral accent

- Highly organized, reliable, and proactive

- Excellent communication and follow-through

- Tech-savvy and comfortable learning new systems quickly

- Strong understanding of business etiquette and professionalism

- Experience with Google Workspace, Trello, Slack, Zoom, GoHighLevel (GHL), Canva, and CRMs

- Familiar with real-estate software like ZipForms, Dotloop, Skyslope, or DocuSign

- Able to work U.S. business hours, Monday – Friday

- At least 2 years of virtual assistant or administrative experience (real estate preferred)

Key Responsibilities
Administrative Operations

- Manage and organize email inboxes and calendars

- Keep Google Drive and client folders structured

- Maintain and clean CRM databases

- Prepare and process contracts, disclosures, and addendums in ZipForms or DocuSign

- Support transaction coordination and ensure all files meet compliance standards

- Schedule client calls, appointments, and follow-ups

- Build SOPs, checklists, and task systems for recurring processes

- Track reminders, reports, and deliverables

- Marketing & Brand Support

- Create property flyers, presentations, and social-media graphics in Canva

- Schedule and post content across social platforms

- Build simple landing pages or newsletters as needed

- Keep marketing assets organized and up to date

Executive Support

- Handle travel planning, meeting prep, and light personal logistics

- Track expenses and create weekly summaries

- Manage vendors, purchases, and follow-ups
