A Life for Seniors is a fast-growing senior-living advisory company. We help families navigate assisted living and memory care with speed, empathy, and clarity. We’re looking for a dedicated Executive Virtual Assistant to be basically our chief of staff. This role is more than admin support — you’ll be directly involved in project coordination, client communications, and the behind-the-scenes operations that keep our business running smoothly and growing.
What We’re Looking For
Experience with GoHighLevel (GHL) and Notion (familiarity required; expert not necessary).
Fluent English, spoken and written (clear, confident communication is non-negotiable).
Availability: Full-time, 40 hrs/week. Must be available for at least 6 hours daily between 9:00 AM–4:00 PM MST for live collaboration; remaining hours may be completed flexibly the same day.
Strong, reliable internet, webcam, laptop, and cell phone.
Comfortable with frequent video calls and direct, proactive communication.
Highly organized, detail-oriented, systems-minded, and eager to learn.
Previous Executive Assistant or VA experience preferred.
Responsibilities
Executive & Admin (Core)
Inbox & Calendar Management: triage, draft responses, schedule meetings/interviews/appointments, protect focus time.
Daily Briefings: surface priorities, deadlines, and follow-ups for leadership.
Document & File Ops: organize drives, meeting notes, and SOPs.
CRM & Client Workflow (GHL + Notion)- help create automations
CRM Support: update client/family info, manage touchpoints, track stages.
Client Communication: send follow-ups, prep onboarding docs, schedule consults and tours.
Project Coordination: create project entries, coordinate with advisors/contractors/vendors.
Marketing & Growth Support
Content Posting/Repurposing: publish to TikTok, LinkedIn,
Engagement & Reporting: monitor comments/DMs, flag hot items, compile weekly snapshots.
Market/Partner Research: hospitals, rehab centers, senior communities, referral partners; build/update outreach lists.
Event Coordination: RSVPs, reminders, attendee follow-up, simple run-of-show docs.
Admin & Operations
Light Finance Ops: subscription tracking, simple P&L snapshots, invoices/POs, expense receipts.
SOPs/Checklists: document recurring processes to improve speed and quality.
Vendor Coordination: quotes, scheduling, deliverables tracking.
Lifestyle & Travel Support (to free leadership bandwidth)
Book travel (flights/cars/hotels), build itineraries, handle RSVPs.
Place grocery/gift orders and manage personal appointments.
“Day in the Life” (Example)
9:00–11:00 AM MST (Live): Inbox triage, calendar confirms, daily briefing, CRM updates for new leads.
11:00 AM–1:00 PM MST (Live): Partner outreach, content posting, schedule tours/consults, confirm interviews.
1:00–4:00 PM MST (Live): Event follow-ups, simple reporting (engagement/ad snapshots), update trackers, SOP touch-ups.
Flexible hours (same day): research, file clean-up, content prep, travel/lifestyle bookings, wrap-up notes.
Compensation & Benefits
$4/hour, 40 hours/week (160 hours/month).
Paid bi-weekly via your preferred method (confirmed upon hire).
One-month trial period before long-term commitment.
