We are looking for a detail-oriented and proactive Purchasing & Project Coordinator to join our short-term rental installations team. The main responsibility of this role is purchasing inventory and merchandise from designer-provided spreadsheets, ensuring that every item needed for property setups is ordered correctly and delivered on time.
In addition to purchasing, you will track deliveries, prepare returns, and maintain accurate spreadsheets and project management systems. This role is essential to keeping our installations organized and running smoothly so our on-site team can focus on delivering a high-quality final product.

Responsibilities include:
Purchasing items from designer spreadsheets and ensuring orders are placed correctly
Tracking and logging all purchases, deliveries, and order confirmations in Google Sheets
Preparing information for returns, replacements, or vendor issues
Assisting in implementing and maintaining a project management tool (Notion, Airtable, Asana, Trello, etc.)
Providing updates to the Installations Lead and team
Suggesting process improvements to make ordering, tracking, and reporting more efficient
Requirements:
Strong purchasing and procurement skills (comfortable ordering and tracking many items at once)
Advanced in Google Sheets or Excel for order tracking
Hands-on experience with project management software (Notion, Airtable, Asana, Trello, ClickUp, etc.)
Extremely detail-oriented and able to manage multiple orders without errors
Problem solver, comfortable handling order issues, cancellations, or returns
Strong written communication and record-keeping skills
Proactive and resourceful, able to suggest improvements and work independently
Schedule and Pay:
20–30 hours per week to start, with potential to grow into a full-time role quickly
Flexible working hours, but must be responsive during U.S. daytime hours
Starting rate: $3.00–$6.00 per hour (based on experience)
