JOB OVERVIEW

Role Summary

The Executive Assistant will act as the organizational backbone, ensuring priorities, projects, and communications are streamlined for the executive team. This role requires a proactive, detail-oriented individual with strong organizational skills who can manage competing priorities, anticipate needs, and keep projects and communications moving forward.

The EA will leverage ClickUp and other tools to manage workflows, track projects, organize tasks, and provide executive support—ultimately keeping the executive’s professional (and sometimes personal) life on track.

Key Responsibilities


Email
& Communication Management

Organize, prioritize, and respond to incoming emails on behalf of the executive when appropriate.

Maintain an efficient system of inbox rules, categories, and priorities to ensure urgent items are addressed quickly.

Draft, edit, and proofread correspondence with professionalism and accuracy.

Project & Task Coordination (ClickUp)

Build, maintain, and monitor task boards in ClickUp for all ongoing projects.

Translate high-level goals into actionable tasks and deadlines, assigning priorities and tracking progress.

Follow up with internal tea ---------- mbers to ensure tasks are completed on time.

Generate progress updates and status reports for the executive.

Executive Support & Organization

Proactively manage calendars, deadlines, and deliverables to prevent bottlenecks.

Coordinate recurring reviews of priorities, ensuring alignment between daily activities and strategic objectives.

Organize digital files, notes, and resources for easy retrieval.

Anticipate scheduling conflicts, prepare daily/weekly briefs, and flag critical upcoming commitments.

Life Management & Personal Productivity

Serve as a “life organizer” to reduce executive’s mental load—reminding, nudging, and holding accountable where needed.

Coordinate personal tasks or errands as assigned (e.g., appointments, travel, household admin).

Identify inefficiencies and recommend systems or tools to improve overall productivity.
