Responsibilities
Documentation & Writing
Complete Family and Medical Leave Act (FMLA) and disability forms using provider clinical notes, standardized templates, and patient records.
Review and synthesize large volumes of medical records with accuracy and clarity
Draft FAA psychiatric reports and Veterans Affairs nexus letters, articulating clinical history, diagnostic rationale, and medical opinion using templates.
Record Review & Accuracy
Review patient medical records for completeness, consistency, and accuracy prior to external distribution.
Conduct in-depth review of extensive records (psychiatric, primary care, and specialty) to support FAA and VA documentation.
Patient Liaison (Documentation-Focused)
Serve as the primary contact for patients regarding submission of medical records and supporting materials.
Track, collect, and confirm all required documentation is received before drafting begins.
Provide patients with clear, professional guidance on documentation requirements and timelines.
Collaboration & Compliance
Work closely with psychiatrists, nurse practitioners, and administrative staff to gather required clinical information.
Maintain accurate documentation and status updates in the practice management system.
Understand legal, regulatory, and payer requirements related to disability documentation, aviation medical standards, and VA criteria.
Uphold strict HIPAA compliance and confidentiality in all communications and documentation.
Hard Skills
Impeccable communication in both spoken and written correspondence (pronunciation, spelling, grammar, formatting) with minimal need for proofreading
Required proficiency in ChatGPT (or similar AI-assisted writing tools); advanced skill considered a major plus
Experience using EMR and virtual phone system, and any shared inbox or customer management systems such as Hubspot
Competency in Google platform including
Proficiency in Excel / Google Sheets (editing, formatting, filtering)
Soft Skills
Bright personality focused on customer service to manage patient expectations
Reliable organizational abilities to manage your time and tasks without needing micromanagement
Desire to work independently but collaborate with a light-hearted but hard-working and dedicated virtual team
Resourcefulness in problem-solving both on your own and as part of a larger team
Ability to make critical decisions on your own in a dynamic and fast-paced environment
Maturity to accept responsibility for deficiencies and errors
Eagerness to learn about healthcare, mental health, and technology and ask for help and further guidance
Interest in embracing technology via new software integrations and process automation
Comfort with discretion regarding highly sensitive information, ensuring HIPAA compliance
Qualifications
Bachelor’s degree in health sciences, psychology, or a related field (Master’s preferred).
Minimum 3 years of medical writing experience in psychiatry, psychology, or related clinical settings.
Prior experience in outpatient psychiatry or behavioral health settings preferred.
Experience with FAA psychiatric evaluation writing or VA disability claim support is strongly preferred.
Strong interpersonal and communication skills to serve as a professional liaison with patients regarding documentation requirements.
Schedule
Part-time with option to convert to full-time based on volume; you can set your own hours as long as we can arrange some times for draft reviews between 8A to 8P CST
