Responsibilities:
Update patient charts (consent forms, allergies, pharmacy, payment information)
Conduct patient check-ins for 3-4 providers simultaneously through text and/or telemed platform
Confirm charges align with scheduled service type and explain patient balances at time of visit, if requested
Ensure patients sign any required financial forms.
Direct unresolved benefit or authorization questions to the verification or billing team, without giving inaccurate benefit advice.
Collect and apply patient payments in EMR in accordance with insurance contracts
Schedule follow up appointments, if requested
Send virtual meeting invites
Generate system reports for missing patient information (records, forms)
Provide exceptional customer service when serving as backup for patient phone/emails/texts
Accurately maintain patient communication logs
Hard Skills
Understanding when to collect co-pays, coinsurance, or outstanding balances at the time of visit.
Knowing how to handle self-pay patients and communicate deposit/fee collection procedures
Experience using EMR and virtual phone system
Ability to spot red flags (difficult or unprepared patient, inactive coverage, mismatched name/date of birth) and follow escalation protocol.
Competency in Google platform including
Proficiency in Excel / Google Sheets (editing, formatting, filtering)
Familiarity with any shared inbox or customer management systems and ChatGPT a major plus
Soft Skills
Bright personality focused on customer service to manage patient expectations
Excellent communication in both spoken and written correspondence (pronunciation, spelling, grammar, formatting)
Reliable organizational abilities to manage your time and tasks without needing micromanagement
Desire to work independently but collaborate with a light-hearted but hard-working and dedicated virtual team
Resourcefulness in problem-solving both on your own and as part of a larger team
Ability to make critical decisions on your own in a dynamic and fast-paced environment
Maturity to accept responsibility for deficiencies and errors
Eagerness to learn about healthcare, mental health, and technology and ask for help and further guidance
Interest in embracing technology via new software integrations and process automation
Comfort with discretion regarding highly sensitive information, ensuring HIPAA compliance
Qualifications
College diploma or equivalent, with a strong preference for relevant college coursework
2+ years experience in a medical office setting, telehealth, or virtual administration
Knowledge of medical and psychiatric terminology and insurance processes
Reliable workstation, and mobile service with high-speed internet connection with backup options (e.g., secondary ISP, mobile data hotspot).
Quiet, professional home office environment suitable for patient-facing communication.
Uninterrupted power supply: access to a backup generator, UPS, or equivalent solution to maintain operations during power outages.
Schedule
Ability to start either week of October 13th or October 20th
Office administrative hours are Monday through Friday 8A to 8P (CST); shift options are 8A to 5P, 9A to 6P, or 10A to 7P
