Technical Virtual Assistant (AI Automation & SaaS Integration)

We are looking for a highly experienced, advanced Technical Virtual Assistant to take full ownership of building automations, integrating SaaS platforms, and streamlining operations for multiple projects. This is not an entry-level role — we need someone who can confidently design, implement, and troubleshoot systems with minimal guidance, starting right away.

Role Overview

You will be responsible for setting up AI-powered workflows, connecting CRMs, automating repetitive processes, and building systems that save clients 10–20+ hours of manual work each week. The ideal candidate is a self-starter who can hit the ground running, manage multiple projects at once, and communicate clearly with stakeholders.

Essential Qualifications (Must-Haves)

Technical Skills

Automation & Integration Mastery: Deep experience with n8n, Zapier, Make (Integromat).

CRM Administration: HubSpot, Salesforce, or similar — setup, integration, and workflow automation.

AI Tool Implementation: Instantly.ai, Apollo, Clay, Jasper, SwellAI, OpusClip, Blaise, Vapi.ai.

Data & API Work: Google Sheets / Excel (pivot tables, API connections), Webhooks, REST APIs.

Soft Skills

Proven ability to manage complex projects end-to-end with minimal supervision.

Excellent communication skills — able to polish AI-generated outputs for client-facing use.

Proactive, organized, and able to troubleshoot quickly and independently.

Tech-savvy, curious, and willing to experiment with emerging tools.

Preferred Skills (Nice-to-Haves)

Experience in SaaS, EdTech, marketing, or health tech industries.

Familiarity with BI tools like Tableau, Looker, or Power BI.

Basic design/video editing knowledge (Canva, Figma, AI tools).

Key Responsibilities

AI & Automation Setup

Build workflows in n8n, Zapier, Make to automate processes.

Integrate CRMs with outreach, content, and analytics tools.

Configure AI SDR tools for automated outbound campaigns.

System & Process Optimization

Create AI-powered lead generation systems and dashboards.

Automate PR/social tracking and consolidate results.

Monitor and refine automations for ongoing efficiency.

Content & Data Execution

Repurpose content with AI tools.

Use LLMs (ChatGPT, Claude, Jasper) for content QA and SOP documentation.

Reporting & Communication

Provide weekly progress updates.

Deliver clear documentation for all systems and workflows.
