Reports to: CEO (primary responsibility) and People & Projects Manager
Location: Fully remote – preference for candidates based in the Philippines (to align with existing team)
Working hours: Monday to Friday, 6:00am – 3:00pm UK time (1:00pm – 10:00pm PH time)
Role Overview
We’re looking for a detail-oriented, proactive Bookkeeper to join our remote team. This is a hands-on role ideal for someone who enjoys structure, precision, and making sense of financial data. You’ll be the go-to person for ensuring that all our financial records are accurate, up-to-date, and well-organised – and that nothing falls through the cracks.
You’ll work directly with the CEO and People & Projects Manager to handle day-to-day bookkeeping tasks, including managing receipts, generating invoices, reviewing transactions, and backtracking financial records where needed.
Ideally, you’ll have knowledge of UK accounting norms and experience working with charities or nonprofit organisations, as much of our work aligns with social enterprises and community-focused initiatives. If you thrive on clarity, accountability, and systems – this could be a perfect fit.
Key Responsibilities
Financial Tracking & Reconciliation
Review and categorise bank transactions to ensure all spending is correctly allocated
Flag discrepancies, unusual charges, or missing data
Reconcile accounts regularly to maintain clean and accurate records
Invoice Management
Create and send invoices on behalf of clients and internal teams
Track outstanding payments and follow up when necessary
Ensure all invoices reflect agreed terms, dates, and details
Receipt & Expense Tracking
Collect and organise receipts from internal teams or clients
Log all expenses accurately with supporting documentation
Cross-reference receipts and transactions for auditing and reporting
Backtracking & Clean-Up
Support historical financial data entry and correction where records are missing or incomplete
Work closely with the CEO to reconstruct past months' financial activity as needed
Ensure documentation is consistent and centralised
General Financial Admin
Keep Google Drive and relevant folders organised and up to date
Support the CEO and team with financial summaries or reports
Help improve or document internal bookkeeping processes
What We’re Looking For
Essential Criteria
At least 2 years of experience in a bookkeeping or finance admin role (remote experience preferred)
Strong understanding of basic accounting/bookkeeping practices
Experience generating and managing invoices, receipts, and transaction logs
Proficient in using tools like Google Sheets, Google Drive, and basic accounting software
Excellent English (spoken and written)
Fast and responsive during UK working hours (6am-3pm UK / 1pm-10pm PH)
Highly organised, analytical, and detail-oriented
Able to work independently and manage sensitive financial information with discretion
Reliable internet connection with a backup plan for outages
Desirable Criteria
Familiarity with UK accounting norms (e.g. VAT, invoicing expectations, charity reporting)
Experience working with charities, nonprofits, or social enterprises
Experience with tools such as Xero, QuickBooks, or similar platforms
Prior experience working with remote teams or small businesses
Confident using AI tools like ChatGPT to streamline reporting or writing tasks
Exposure to Notion or project management tools is a plus
