JOB OVERVIEW

Remote Orthodontic Billing Specialist
(work hours aligned to US/Eastern Time)

Tools you’ll use: OpenDental, Trello, Slack, Remote Desktop software
Training: We will train the right candidate

What you’ll do

Eligibility & verification: Check benefits (Medicaid & commercial), ortho lifetime maximums, waiting periods, and coverage details.

Pre-authorizations: Prepare and submit pre-auths; track and follow up through approval.

Claims & reimbursements: Create, submit, and monitor claims (EDI/portal); call insurance companies to verify status and provide documentation.

Payment posting: Record payments (private and Medicaid), post ERAs/EOBs, and apply adjustments/write-offs accurately in OpenDental.

File claims with proper narratives and attachments, resolve rejections/denials, and file corrected claims or appeals.

Patient billing & support: Set up payment plans, collect payments, return patient calls, and resolve discrepancies professionally.

Scheduling support: As needed, help manage appointments tied to scheduling treatment, financial issues, and insurance follow-ups.

Collaboration & documentation: Keep clean notes, update Trello boards, communicate progress in Slack, and follow HIPAA/PHI guidelines.

Experience is not a requirement for this position we will train, what matters most (non-negotiables)

Critical thinking — you can analyze and troubleshoot patient accounts, accounting errors ,and .take notice of discrepancies in patient accounts regardless if its related to the current task.

Attention to detail — you reconcile EOBs/ERAs precisely and catch inconsistencies,.

Strong work ethic & ambition — you take ownership and take pride in your work.

Willingness to learn — you’re coachable and committed to performing new tasks to the best of your ability.

Excellent English (spoken & written) for phone calls, emails, and documentation.
(These qualities take precedence over experience.)

Experience & tools (preferred, not required)

Any dental/orthodontic billing exposure: eligibility checks, preauths, claim submission, EOB/ERA posting.

Familiarity with CDT codes, payer policies, and ortho workflows.

OpenDental experience (strong plus) and comfort with Trello, Slack, Remote Desktop.
