JOB OVERVIEW

We are seeking a proactive, detail-oriented, and highly organized Loan Officer Assistant to support the daily operations of a busy mortgage professional. The ideal candidate will manage the CRM system, oversee communication follow-ups, coordinate marketing efforts, and ensure the smooth handling of administrative and relationship management tasks. This role requires strong organizational skills, creativity, and the ability to work independently while prioritizing multiple responsibilities.

Key Responsibilities

CRM & Client Management
• Maintain and update CRM system to ensure accurate and organized client information.
• Add new leads, clients, and referral partners into CRM.
• Create, organize, and manage CRM templates to streamline communication and workflows.
• Send consistent follow-ups to clients until required documents are received.
• Keep CRM up to date with all client interactions, notes, and status updates.

Calendar & Scheduling
• Manage and maintain Loan Officer’s calendar, including appointments, calls, and deadlines.
• Send reminders and confirmations for meetings.
• Coordinate with clients, agents, and partners to schedule consultations or updates.

Marketing & Communication
• Design and distribute monthly newsletters to clients and referral partners.
• Create and send flyers to real estate agents on a bi-weekly basis.
• Assist with content creation and campaign coordination to strengthen agent and client engagement.
• Nurture and maintain agent relationships through consistent communication and follow-ups.

Relationship Building & Support
• Act as the first point of contact for clients and agents when needed.
• Assist with nurturing long-term referral partner relationships.
• Support Loan Officer in creating marketing initiatives and strategies to grow the business.

Skills & Qualifications
• Strong organizational and time management skills.
• Excellent written and verbal communication.
• Proficiency with CRM systems (mortgage/real estate CRM experience preferred).
• Ability to multitask, prioritize, and meet deadlines.
• Creative skills for flyers, newsletters, and marketing templates.
• Tech-savvy with basic knowledge of email marketing platforms, calendar systems, and design tools (Canva, Mailchimp, etc. a plus).
• Self-motivated with the ability to work independently and proactively.
