We are a growing children’s home provider. Our mission is to deliver outstanding care, safety, and development opportunities for young people. To achieve this, we rely on accurate, timely, and secure staff data systems that meet both operational and Ofsted compliance standards.

We are now seeking an Excel & Data Specialist to join our central support team, focusing on managing, analysing, and improving staff data records across the organisation.

Role Purpose
The Excel & Data Specialist will design, maintain, and optimise staff data systems, ensuring accuracy, compliance, and ease of use. They will work closely with HR, Operations, and Compliance teams to deliver clear reporting that supports safe staffing, workforce planning, and regulatory requirements.

Key Responsibilities:

Data Management & Accuracy
- Develop and maintain advanced Excel spreadsheets and dashboards for staff data, including recruitment, training, rotas, and compliance checks.
- Ensure staff records meet Ofsted, HR, and safeguarding requirements.
- Perform regular data validation and integrity checks.

Reporting & Analysis
- Produce monthly and ad-hoc reports on staffing levels, compliance training, absence, turnover, and performance indicators.
- Create pivot tables, macros, and formulas to automate reporting processes.
- Present insights in a clear, concise, and decision-ready format.

Compliance & Safeguarding
- Ensure data handling complies with GDPR and organisational Data Protection policies.
- Support audits and inspections by preparing accurate, accessible staff data reports.
- Liaise with managers to update training records, DBS checks, and mandatory certifications.

Process Improvement
- Work with the HR Admin and Data Admin team to streamline data workflows.
- Provide training and support to managers and administrators on Excel and data reporting.
- Identify opportunities for automation and integration with future systems (e.g., HRIS, FP&A tools).

Essential Skills & Experience
> Advanced Excel expertise (pivot tables, Power Query, VLOOKUP/XLOOKUP, SUMPRODUCT, macros, data validation, conditional formatting).
> Experience in data management within HR, compliance, or regulated care settings.
> Strong attention to detail with the ability to spot anomalies and maintain accuracy.
> Knowledge of UK GDPR, safeguarding, and Ofsted compliance expectations for staff data.
> Strong communication skills, able to translate complex data into accessible reports.

Desirable Skills
> Experience within children’s social care or another Ofsted/CQC regulated sector.
> Knowledge of data visualisation tools (e.g., Power BI, Tableau, or Google Data Studio).
> Familiarity with Google Workspace (Sheets, Drive) alongside Excel.
> Experience supporting HRIS implementation or data migration projects.
