Position Overview
The Personal Assistant / Chief of Staff to the CEO provides high-level executive support, manages key priorities, oversees strategic initiatives, and ensures the CEO’s time, communication, and operations run efficiently. This role acts as an extension of the CEO—anticipating needs, optimizing workflows, and supporting decision-making across the organization.
Key Responsibilities
Executive Support & Calendar Management
Manage and optimize the CEO’s calendar, travel schedule, and daily priorities.
Coordinate internal and external meetings, including agenda preparation and follow-ups.
Handle confidential correspondence with discretion.
Strategic Planning & Project Management
Support the CEO in planning, executing, and monitoring organizational goals and initiatives.
Lead and/or coordinate cross-functional projects.
Track deadlines, deliverables, and KPIs across departments.
Communication & Stakeholder Management
Serve as the CEO’s point of contact for internal teams and external partners.
Draft and review communications, presentations, and reports.
Ensure timely communication flow between the CEO and leadership teams.
Operational & Administrative Leadership
Improve systems, processes, and workflows to enhance productivity.
Prepare research briefs, business updates, and executive summaries.
Support decision-making through data organization and analysis.
Event & Meeting Coordination
Organize board meetings, executive retreats, and key company events.
Oversee documentation, minutes, and follow-up action items.
Confidentiality & Professionalism
Handle sensitive information with the highest level of integrity.
Represent the CEO with professionalism during interactions with clients, partners, and staff.
Qualifications
Bachelor’s degree in Business Administration, Communications, Management, or related field.
3–7 years of experience as an Executive Assistant, Personal Assistant, Chief of Staff, or similar role.
Exceptional communication (written and verbal) and interpersonal skills.
Strong planning, coordination, and organizational skills.
Ability to multitask, prioritize, and operate in a fast-paced environment.
High proficiency in productivity tools (G Suite, MS Office, project management tools).
Strong judgment, discretion, and problem-solving ability.
Preferred Skills
Experience supporting C-suite executives.
Ability to anticipate needs and proactively recommend solutions.
Strong analytical and presentation-building skills.
