Job Title: Executive Assistant with Project Management Skills (Part-Time, Growth to Full-Time)

Overview
We are seeking a highly organized and proactive Executive Assistant with strong project management skills to support the CEO of a rapidly growing firm in the Architectural, Engineering & Construction (AEC) industry. This role begins as part-time with the opportunity to grow into full-time as the company expands. The ideal candidate thrives in a fast-paced environment, can anticipate needs, and excels at managing multiple priorities with precision.
Key Responsibilities
Provide executive-level administrative support including scheduling, calendar management, correspondence, and travel arrangements.
Assist with project coordination—tracking deadlines, milestones, and deliverables across multiple teams and partners.
Maintain project documentation, organize files, and prepare reports/presentations for internal and external stakeholders.
Liaise between the CEO, clients, contractors, and internal staff to ensure smooth communication.
Monitor and follow up on key action items to keep projects and initiatives on track.
Conduct research and prepare briefing materials for meetings and proposals.
Support in proposal development, contract tracking, and document management.
Uphold confidentiality and professionalism in handling sensitive company and client information.
Qualifications
3+ years experience as an Executive Assistant, Project Coordinator, or similar role (AEC industry experience a plus).
Bachelors Degree and would prefer Engineering but open to others
Strong organizational skills with attention to detail and ability to manage competing priorities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite, Google Workspace, and project management tools
Familiarity with construction, engineering, or architecture terminology is preferred but not required.
Ability to work independently, anticipate needs, and problem-solve proactively.
Schedule & Compensation
Part-time (approx. 15–25 hours per week to start)
Path to full-time as company grows
Competitive hourly rate/compensation $4.30-$6.90
