Role Overview

We are seeking a highly organized, proactive, and resourceful Executive Assistant to support the CEO/Owner in overseeing daily operations across management, publishing, and label divisions. This role is perfect for someone passionate about the music industry, who thrives in dynamic environments, and has the ability to anticipate needs, manage complex schedules, and handle sensitive information with discretion.

Key Responsibilities

Administrative Support: Manage calendar, schedule meetings, coordinate travel, and prepare documents for high-level industry calls and negotiations.

Communication: Serve as the first point of contact for partners, artists, producers, attorneys, and executives; draft and proofread professional emails and correspondence.

Project Coordination: Track progress of ongoing projects, releases, publishing matters, and film/TV collaborations.

Operations: Assist with contracts, invoices, budgets, and royalty tracking in coordination with legal and finance teams.

Research & Strategy: Conduct industry research, prepare briefs, and help with outreach to labels, publishers, and partners.

Event Support: Help coordinate industry events, showcases, promo tours, and artist/producer sessions.

Confidentiality: Handle sensitive information regarding deals, contracts, and artist relations with the highest level of professionalism.

Qualifications

Prior experience as an executive assistant, project coordinator, or similar role (music, entertainment, or creative industries strongly preferred).

Exceptional organizational and multitasking skills with strong attention to detail.

Excellent written and verbal communication abilities.

Proficiency with Google Workspace, Microsoft Office, and productivity tools (Slack, Notion, Airtable, etc. a plus).

Ability to work independently and anticipate needs in a fast-paced, high-pressure environment.
