Job Title: Permitting Coordinator
Department: Operations / Project Management
Reports To: Operations Manager
Position Overview
The Permitting Coordinator is responsible for overseeing solar projects from Project
Coordinator handoff through installation readiness. This role ensures the accurate and
timely execution of engineering submittals, coordination with subcontracted engineering
partners, and preparation of project documentation. A high level of attention to detail,
strong communication skills, and proactive follow-up are essential for success in this
position.
Key Responsibilities
1. Project Preparation
• Review all required site photos and project documents within 24 hours of project
entry into Phase 1.
• Confirm the Authority Having Jurisdiction (AHJ) within 24 hours.
• Request engineering plans within 24 hours by sending the request through
Acculynx.
2. Structural Stamping
• Follow up with the structural engineering firm if the stamped plans or structural
letters are delayed beyond 3 days.
• Upload completed stamped plans and structural letters to Acculynx using the
correct naming conventions immediately upon receipt.
3.Project Submission
• Review and validate all applications for accuracy prior to submittal.
• Submit Interconnection (IC), Homeowner Association (HOA) approvals, and
incentives (as applicable) within 1 business day of the project entering Phase 2.
• Submit permits within 1 business day of receiving stamped plans.
4. Project Documentation Management
• Ensure all documents follow proper naming conventions and are uploaded to the
correct folders.
• Verify that all necessary documents for installation and inspections are available
and accessible.
• Confirm that permit and plan documentation in Acculynx matches the uploaded
files.
5. Submittal Follow-Up
• Conduct initial follow-up within 7 days of submission.
• Maintain a follow-up cadence of every 3 days thereafter until a response is
received.
• When customer action is required (e.g., homeowner’s insurance, signatures),
follow up daily until completed.
• Log all follow-ups and updates clearly within Acculynx.
