The Role
We’re looking for a hands-on, systems-minded E-Commerce Brand Operations Manager to own day-to-day operations for our portfolio and help us scale. This is a contract-to-hire role with clear metrics and room to grow.
You’ll design and run our internal operating system (“Kobla OS”) that links Shopify, 3PL/logistics, customer support, and marketing. You’ll make sure orders ship on time, customers are happy, and our team has a single source of truth for everything.
Key Responsibilities
- Operational Systems & SOPs
- Map our current order ? 3PL ? customer experience ? returns process.
- Build and maintain “Kobla OS” in Notion/Airtable: issue tracker, SOP library, and weekly KPI dashboards.
- Create a SKU-level P&L template to track gross margins, landed cost, and logistics KPIs.
- Fulfillment & Logistics Management
- Oversee orders from Shopify through 3PL and carriers (ShipStation, WMS).
- Track and reduce SLA breaches, returns, and lost shipments.
- Liaise with 3PLs, freight forwarders, and customs brokers to resolve issues quickly.
- Automation & Integrations
- Identify repetitive tasks and build 5–10 key automations in Zapier/Make to improve speed and accuracy.
- Maintain clean integrations between Shopify, Klaviyo, 3PL, and customer service platforms.
- Customer Experience (CX) & Support
- Set up and maintain Gorgias/Zendesk macros for the top 10 inquiries.
- Ensure response times 95%.
- Monitor reviews, returns, and refunds to spot process improvements.
- Marketing & Lifecycle Support
- Launch baseline Klaviyo flows (welcome, post-purchase, win-back).
- Create influencer/affiliate CRM tables and TikTok Shop onboarding checklist.
- Support campaign operations with accurate stock and shipping info.
- Reporting & Leadership Support
- Provide a weekly KPI scorecard (orders, shipping time, returns %, CX metrics, gross margin).
- Flag bottlenecks proactively and recommend solutions to leadership.
Requirements
- 3+ years managing operations for a Shopify/DTC brand or agency.
- Proven systems builder — you’ve created dashboards, SOPs, or automations in Notion, Airtable, Zapier, or Make.
- Fluent with 3PL/WMS, ShipStation, and Gorgias/Zendesk.
- Strong understanding of cost accounting, SKU-level margins, and logistics KPIs.
- Advanced English, excellent documentation skills, and at least 4 hours of overlap with U.S. Central Time.
- Comfortable running a fully remote, asynchronous operation.
Nice to Have
- Amazon Seller Central, TikTok Shop setup experience, or influencer/affiliate ops.
- Familiarity with Triple Whale, Northbeam, GA4/Looker Studio.
Compensation & Engagement
- Initial *paid test project* (4–6 hours): build a mini “Kobla OS” in Notion with 5 automations.
- If successful, full-time remote at $3,500/month (including bonuses)* with milestone raises and performance-based incentives.
