Operations & Sales Support Coordinator (Fencing Business)

As we continue to scale, we’re looking for the right person to help us manage operations, sales support, and customer interactions so our field team can focus on building great fences.
Role Overview
We are seeking a proactive and versatile Operations & Sales Support Coordinator who can act as the backbone of our office operations. This person will field inbound calls, manage leads, schedule estimates, and coordinate with the team and vendors. The ideal candidate is a “jack of all trades” who can not only handle day-to-day tasks but also jump in on marketing, permitting, and back-office projects as we grow.
Key Responsibilities
Inbound & Lead Management
Field 3–4 inbound calls per day and log leads into our CRM (Drip Jobs).
Send and track lead intake forms, ensuring complete and accurate information.
Qualify leads and escalate high-value opportunities (e.g., $15k+ projects) to the owner promptly.
Follow up on stalled deals and ensure no opportunities slip through the cracks.
Scheduling & Coordination
Schedule on-site estimates (in collaboration with the owner until calendars are fully aligned).
Coordinate resources, subcontractors, and vendor schedules.
Keep project timelines, permits, and client updates organized.
Back Office & Marketing Support
Assist with pulling permits and submitting required documentation.
Post simple marketing campaigns (e.g.,
Help refine SOPs and leverage AI tools for quoting and communication.
Customer Engagement
Provide a professional, friendly first point of contact for clients.
Keep clients informed about next steps and ensure smooth hand-offs to the field team.
Assist with courtesy calls or follow-ups from the owner for larger projects.
Qualifications
Experience in blue-collar service trades (roofing, concrete, construction, fencing, etc.) preferred.
Strong organizational and communication skills.
Comfortable using CRMs, online forms, and automation tools (experience with Drip Jobs a plus).
Ability to juggle multiple tasks and adapt quickly as business needs evolve.
Proactive problem solver—able to spot gaps, suggest improvements, and take initiative.
