NovaWrap is a Dubai-based interior transformation company specializing in kitchen wrapping, flooring, and surface protection. We pride ourselves on innovation, craftsmanship, and smooth project delivery. With a strong reputation across premium residential and commercial projects, we are scaling operations and seeking a Remote Operations & Project Coordinator to manage our sales pipeline from project confirmation to completion.

Role Overview
Once a project is confirmed by our sales team, you will own the operational flow from start to finish: ordering materials, scheduling teams, coordinating work permits, updating CRM stages, and ensuring payments are collected on time, updating inventory stock. You will use GoHighLevel for lead and pipeline management along with Jobber for scheduling, team coordination, job tracking, and invoicing.

Key Responsibilities

1) Administration & Documentation
- Manage project data inside GoHighLevel (pipeline stages, client communication, automation triggers).
- Update Jobber team schedules, and project allocations.
- Prepare invoices, POs, and project documents; maintain digital filing.
- Track status of permits/NOCs and update CRM records.

2) Materials & Procurement
- Ordering of required materials from our suppliers
- Checking availability of materials in our existing inventory
- Maintain up to date digital inventory list
- Ensure material is ready in time for project timelines.

3) Scheduling & Coordination
- Build daily/weekly schedules in Jobber and assign installers based on location and availability.
- Ensure installers have full job details (scope, film codes, notes, site access permits).
- Ensure sub-contractors are fully aware of project scope, timelines and prepared ahead of project start.

4) Client Communication & Updates
- Share schedules, updates, and reminders with clients.
- Follow up for work permits and any outstanding confirmations prior to project start (colors, style, scope clarifications).
- Request reviews and referrals post project completion

5) Finance & Payment Follow-Up
- Create and send invoices through Jobber.
- Track pending payments and trigger reminders via GoHighLevel automation.
- Ensure proof of payment is logged before moving to job completion.

Requirements
- 3+ years experience in admin, accounting, operations, or project coordination.
- Experience in fit-out, interiors, facilities management, or construction preferred.
- Strong English communication (verbal & written). Hindi / Arabic is a plus.
- Solid background in CRM systems; experience with GoHighLevel and Jobber strongly preferred.
- Highly organized, detail-oriented, and proactive.
- Comfortable working fully remote while coordinating with Dubai-based teams.
- Must be available during UAE working hours.
