Job Title: Bookkeeper (VAT & Payroll)
Reports to: Managing Director

Job Summary: The Bookkeeper (VAT & Payroll) ensures Oppic’s clients are well looked after by processing financial data accurately and on time, running VAT and payroll, and maintaining clear, friendly communication. This role is key to keeping client records compliant, building trust, and helping Oppic deliver reliable, proactive service.

Summary of duties:
- Process daily client receipts and invoices with accuracy
- Complete weekly and monthly bank reconciliations across multiple clients
- Carry out quarterly VAT reviews and prepare submissions in line with HMRC guidelines
- Run monthly payrolls and ensure compliance with local requirements
- Communicate daily with clients via email and WhatsApp in a friendly, professional tone
- Chase missing or unclear information from clients promptly and consistently
- Review client data regularly and follow up on discrepancies
- Respond to client queries on bookkeeping and processes clearly and supportively
- Monitor bookkeeping health scores weekly, resolve issues, and escalate only when needed
- Flag potential problems early, bringing forward practical solutions
- Assist with year-end prep and reconciliations as needed
- Maintain organised digital records of client communications and submissions
- Keep up to date with VAT, payroll, and HMRC rules relevant to clients
- Other duties as assigned
qualifications:
Required:
- 3+ years’ bookkeeping experience in an accounting practice or similar multi-client environment
- Proficiency in Xero (or similar cloud systems)
- Experience with VAT (or GST in another jurisdiction) and payroll processing
- Track record of meeting deadlines and managing multiple clients with minimal supervision
- Strong accuracy and attention to detail
Preferred:
- Experience with UK VAT and HMRC rules
- Proficiency in Xero (or similar cloud systems)
- Knowledge of payroll across different company sizes and structures
- Bookkeeping certification or relevant degree

Technical skills:
- Cloud accounting software (Xero essential; QuickBooks or similar a plus)
- Payroll platforms (e.g. BrightPay, Xero Payroll, or similar)
- Excel / Google Sheets for reconciliations and reporting
- Communication tools (email, WhatsApp, Teams)
- Strong written English for client correspondence
