Virtual Marketing & Administrative Assistant – Home Care Agency (U.S. Based)

About Us
We are a trusted home care agency serving seniors and veterans in the U.S. Our mission is to deliver high-quality care that helps clients live safely and comfortably at home. We’re looking for a skilled Virtual Assistant (based in the Philippines) to help us expand our private-pay client base and build strong referral relationships.

???? Responsibilities

You will support our Administrator and Care Coordinators with marketing, communication, and administrative tasks, including:
• ???? Appointment Setting
• Call referral sources (doctor’s offices, hospitals, senior living facilities, elder law attorneys, community centers, etc.) to set up meetings.
• Confirm appointments and keep our calendars updated.
• ???? Email & Communication Management
• Manage the agency’s email inbox (reply to general inquiries, flag urgent items, organize messages).
• Send professional follow-up emails, thank-you notes, and event invitations to referral partners.
• ???? Social Media Management
• Post to company Facebook, LinkedIn, and Instagram accounts (templates, branding, and guidance provided).
• Respond to comments/messages in a professional, timely manner.
• Track engagement and suggest improvements.
• ???? Event Scheduling
• Coordinate lunch-and-learn sessions, facility events, and community presentations with referral partners.
• Follow up with contacts to confirm attendance and logistics.
• ???? CRM & Tracking
• Maintain accurate records of calls, meetings, and outreach.
• Provide weekly progress reports (appointments set, emails sent, events scheduled, social engagement).

? Requirements
• Excellent spoken and written English with a neutral accent.
• Previous experience in marketing support, appointment setting, or healthcare VA work.
• Strong skills in email management, calendar scheduling, and social media posting.
• Reliable internet and quiet work environment.
• Organized, proactive, and comfortable following up with professionals.
• Availability during U.S. business hours (EST/CST).

• Experience in healthcare, senior care, or professional services marketing.
• Knowledge of tools like Google Workspace, Canva, Facebook Business Suite, LinkedIn, and Calendly.

???? Compensation
• $7–$10 USD/hour depending on experience.
• 20–30 hours per week to start, with potential to expand to full-time.
• Performance-based incentives for successfully booking qualified appointments and events.
