Intro:
We are a small, fast-moving NYC real estate team looking for a reliable and resourceful Virtual Assistant to help us stay organized, efficient, and client-focused. This role is not just about checking tasks off a list — it’s about taking ownership, improving systems, and helping our business run at its best.

We are looking for decisive, driven leader to help keep our organization on track.

Guiding Principles:
-Integrity – Own mistakes and maintain transparency.

-Competency & Experience – Manage detail-oriented tasks accurately and efficiently.

Responsibilities:
-Listings Management
-Complete listing paperwork accurately and upload to MLS and internal systems.
-Ensure all listing details are correct, compliant, and updated.
-Coordinate marketing: single-property websites, flyers, signs, and materials.
-Coordinate Sales Agents and other VAs
-Track timelines and deadlines, updating our CRM along the way.


Email
& Admin Management
-Take ownership of inbox management, prioritizing and responding appropriately.
-Recognize urgent vs. delegable emails.
-Track/manage invoices and payments.
-Streamline workflows to reduce clutter and improve efficiency.

Systems & Process Improvement
-Audit current systems and propose improvements.
-Develop new procedures that optimize team and client experience.

Project & Team Support
-Lead projects (CRM, client care, events, etc.) from framework to execution.
-Collaborate with agents and the transaction coordinator to ensure smooth client experiences.

-Systems Thinker – quick learner, identifies process improvements
-Tech-Savvy – proficient with CRMs, social media, Google Workspace, Zoom, WhatsApp, AI tools
-Google Guru – strong understanding of Google systems is essential
-Inbox Pro – manages high-volume emails with minimal oversight
-Problem Solver – identifies and fixes challenges efficiently
-Marketing Awareness – understands branding & consistency in property marketing
-Team Player with Humor – collaborates well and enjoys a positive team culture
-Real Estate Curious – experience helpful but not required; we can teach what’s needed
