Company: U.S.-based Residential Construction Company

Role Overview

We are a residential construction company seeking a detail-oriented and reliable Virtual Bookkeeper. You will manage our daily bookkeeping workflow—capturing receipts, matching transactions, reconciling accounts, and preparing accurate financials that our CPA will review for decision-making.

Key Responsibilities
Receive and organize receipts (pictures uploaded by owner or subcontractors).
Match receipts to credit card and bank transactions.
Correct errors and ensure proper categorization.
Perform monthly bank reconciliations.
Maintain accurate bookkeeping records in QuickBooks Online (QBO).
Generate simple reports (P&L, balance sheet, job cost summaries) for management.
Communicate with owner (CPA) for any missing receipts, unclear items, or exceptions.

Requirements
At least 2+ years of bookkeeping experience (construction industry a plus).
Proficiency with QuickBooks Online.
Strong attention to detail and accuracy.
Ability to work independently and meet deadlines.
Reliable internet and computer setup.
Good communication skills (clear written English).

Preferred
-Experience with U.S.-based small businesses.
-Familiarity with receipt management apps (Hubdoc, Dext, Google Drive, etc.).
-Knowledge of job costing in construction bookkeeping.

Schedule & Pay
-Part-time: Minimum 2 hours/day, Monday–Friday.
-Sometimes more hours, sometimes less, depending on receipt volume and activity.
-Pay: $4–$5 per hour (based on experience).
-Flexible hours, but must provide daily updates.

3. Timing & Accuracy Scenario
A subcontractor submitted a receipt for $2,000 of materials dated December 2024, but the payment shows on the bank statement in January 2025. How would you handle this in the books?

4. Categorization & Project Assignment
In our system, we categorize expenses by both type of cost (e.g., framing, exterior doors, bathroom, porches, driveway) and by project/job (House #1, House #2, etc.).
Here’s an example set of transactions:

$850 – Home Depot – lumber purchase for framing House #2
$420 – Lowe’s – bathroom vanity for House #1
$3,200 – subcontractor invoice for concrete driveway, House #3
$200 – Home Depot – general hardware, not tied to a specific project (overhead expense)

Please categorize each item by type and project.

5. Prioritization & Process Test
If you receive 20 receipts at once, what process would you follow to ensure accuracy and speed in recording and categorization?

6. Report Understanding
