Project Manager / VA

The Mission of this Role
To ensure all client projects are delivered with structure, clarity, and purpose - keeping teams aligned, clients informed and outcomes optimised for business success.

The Project Manager plays a central role in planning, coordinating and delivering client projects across web design, development, SEO and marketing. You will manage timelines, budgets, resources and client communication, ensuring projects run smoothly and meet the highest standards.

Drawing on both creative and technical understanding, you’ll be the bridge between clients and internal (and external) teams, turning ideas into actionable steps and ensuring work is completed on time, on budget, and to specification.

Essential Responsibilities
The essential functions include, but are not limited to the following:

DAILY:
- Monitor progress of all active client projects, updating timelines and deliverables in project management tools (e.g., ClickUp).
- Communicate project statuses clearly to both internal teams and clients.
- Coordinate with designers, developers and marketing specialists to remove blockers.
- Serve as the main point-of-contact for clients, answering questions and gathering feedback.
- Perform updates and small amends in WordPress and Elementor where required.

WEEKLY:
- Host weekly team check-ins to align on priorities and flag issues.
- Provide clients with clear weekly summaries of completed tasks, upcoming priorities and deadlines.
- Review deliverables to ensure they meet Zed Studio’s quality standards.
- Support the creation of scopes and proposals for new projects.

MONTHLY:
- Track and report on project performance, SEO improvements and client satisfaction.
- Optimise internal project management processes and templates.
- Assist in capacity planning and resource allocation.

QUARTERLY:
- Conduct post-project reviews to identify wins and improvement opportunities.
- Work with leadership to refine operational efficiency and client experience.

Requirements:

Competencies:
- 3+ years of project management experience in web design, development or digital marketing.
- Strong client management and communication skills.
- Proficiency with task management tools (ClickUp, Slack etc.).
- Experience creating and optimising digital content.
- Knowledge of SEO optimisation, websites (WordPress, Elementor, ManageWP etc.) and content strategy.

Other requirements:
- A computer that is three years old or less
- Your own internet connection and some kind of backup internet
- Have a headset or microphone and video camera (for tea ---------- etings)
- Availability for regular check-ins during UK business hours

This is a part time role (5-10 hours a week) that we plan to increase the hours of and ultimately expand to a full time role.
