Executive Assistant / Loan Processor / Workflow Builder

I run a private lending company that funds $100K–$10M residential construction and investment property loans (Fix & Flip, Ground-Up Construction, Rental/DSCR, Bridge). I’m looking for someone who can act as my right hand in loan processing, while also helping me organize and build out our workflows inside LendingWise (LOS) and our CRM.

This is a hybrid role: part daily execution, part systems builder. If you do well here, there’s long-term opportunity to grow into a Head of Processing role as the company scales.

What You’ll Do (Daily Processing):

-Input new deals into LendingWise LOS.
-Order title, insurance, and third-party reports.
-Collect borrower documents and keep loan files organized.
-Submit complete loan packages to lenders and track conditions.
-Maintain pipeline visibility with accurate deal statuses and timelines.

What You’ll Do (Systems & Workflow Build-Out):

-Help create step-by-step workflows in LendingWise and GoHighLevel (CRM).
-Build checklists and SOPs for each loan type.
-Suggest and implement automations to reduce manual tasks.
-Work with me to design a scalable processing system that can handle more volume without bottlenecks.

What I’m Looking For:

-Experience in loan processing, mortgage operations, or financial back-office (private lending / hard money experience is a big plus).
-Familiarity with LendingWise LOS (or similar platforms like Calyx, LendingPad, Encompass, etc.).
-Organized, detail-oriented, and reliable.
-Strong English communication (written + spoken).
-Ability to think like an operator — not just follow instructions, but improve the system.

Role Details:

-Starts as part-time (20–30 hrs/week) with potential to scale full-time.
-Flexible hours, but must be responsive during U.S. business hours.
-Long-term opportunity to grow into Head of Processing role.
