22-unit Boutique Hotel located in Florida, USA. We are seeking a professional, detail-oriented, and highly experienced Virtual Assistant to join our growing team. This role is critical to ensuring both our operations and guest communications run smoothly, turnovers are managed efficiently, and technology systems are implemented correctly.
Position: Guest Experience & Operations VA (Evening Shift, 4 PM – 12 AM EST)
About the Role:
We are seeking an Operations Coordinator Virtual Assistant to manage day-to-day back-end operations while also handling guest communications during the evening shift. This VA will oversee cleaning schedules, coordinate handyman and vendor support, assist with property management systems, and ensure guests receive timely and professional responses. This is a long-term, full-time role with opportunities to grow into a leadership role within our operations team.
Responsibilities:
Guest-Facing:
- Manage guest communications across all platforms (Airbnb,
- Handle booking confirmations, modifications, and cancellations.
- Resolve guest issues professionally and escalate to vendors/management as needed.
- Support evening arrivals and check-ins, including troubleshooting smart lock entry issues.
Operations:
- Manage and monitor cleaning assignments through Turno (TurnoverBnB) and ensure quality control.
- Coordinate handyman/vendor schedules and document all maintenance activities.
- Assist with onboarding and implementation of PMS tools including Guesty (migration from Cloudbeds).
- Maintain property checklists and SOPs in
- Set up and monitor Zapier automations for operational workflows.
- Support integration and monitoring of RemoteLock smart locks.
- Generate reports on turnovers, maintenance tasks, and operational performance.
- Communicate with VA1 (Day Shift) and VA3 (Night Shift) to ensure smooth handoffs.
Requirements:
- 2+ years experience in property management, hotel operations, or short-term rental coordination.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Familiarity with property management software (Guesty, Cloudbeds, Hostaway, or similar).
- Experience handling guest communications via OTAs (Airbnb,
- Comfortable working with tools like
- Excellent English communication skills (written and spoken).
- Strong problem-solving skills with the ability to prioritize urgent guest and operational issues.
- Reliable internet connection and quiet work environment.
Preferred Experience:
- Previous role as Operations Coordinator/Property Manager VA for short-term rentals or boutique hotels.
- Hands-on experience setting up and managing PMS migrations.
- Knowledge of dynamic pricing tools such as PriceLabs.
Compensation:
Salary: $700 – $850 USD/month (full-time, 40 hrs/week)
• 13th Month Pay (Philippines standard)
