We are looking for an Operations Assistant to help our executive team in supporting our Loan Officer staff and running the back end of our company platform.
This role does not require mortgage industry experience.
Job Description
An Operations Assistant is the right hand of an Executive, and the role is as big and complex as the Executive’s role they support. The perfect fit would be someone who can juggle multiple high-priority tasks, help streamline daily operations, and bring a wealth of knowledge in digital platform management, particularly Microsoft Office, SharePoint, Microsoft Exchange/outlook

-Available to commit to full-time hours, with schedule flexibility: USA Central Standard Time, Monday through Friday, approximately 8am-7pm, after hours availability is a plus

Duties include:
-Performing HR functions such as screening applicants, and performing onboarding for new hires
-Project, document, and event managing/coordination: creating, updating, and adhering to timelines, creating materials for, supporting, and organizing events with groups ranging in size from 2-50+, pushing updates to various tea
-Preparing itemized spreadsheets and performing research on various projects with the ability to present to our internal team on various strategic outlines
-Demonstrate mastery in utilizing Microsoft 365 tools, particularly SharePoint, Teams, and
-Oversee content updates in our CRM (GHL) as well as SharePoint platforms, enhancing user engagement and information accuracy.
Administrative Support:
-Strategically manage and align executives’ schedules, appointments, and virtual collaborations.
-Serve as a conduit for seamless internal and external communications.
-Handle ongoing outbound and inbound communications on behalf of the Executive team via
-Help with basic cybersecurity best practices, as well as effective communication to help create, maintain, and enforce corporate policies in order to mitigate company risk related to mortgage loan originations, client file storage, and general operations.
-Help with contract reviews and checking various documentation and file folders for completeness, correctness, and to prevent errors and/or omissions.
Qualifications:
-Experience: At least 2 years in a multifaceted administrative role, with experience aiding Executive level tea
-Mastery of Microsoft Office, with an emphasis on advanced functions in Word and Excel.
-Foundational experience with Microsoft SharePoint and Teams is required- advanced experience is desired.
-GoHighLevel experience from an administrative perspective: preferably with hands-on knowledge of building/editing workflow automation, lead funnel/website creation and management, and data management.
Compensation: $800 to $1000 USD Monthly to start (depending on experience level and qualifications) + with planned raises based on performance and company growth.
