Your Mission
As our Performance Marketing & Sales Systems VA, you will be the systems thinker who bridges strategy and execution, ensuring our CRM is structured, our attribution is accurate, our follow-up is flawless, and our content reaches the right people.
You’ll collaborate with our Project Management Assistant (PMA) and wider VA team, bringing insight and intelligence to campaigns, while owning the backend mechanics that power our conversion engine.
Key Responsibilities
???? Strategic Targeting & Collaboration
?Act as a strategic contributor in defining where our ideal clients gather, associations, events, panels, and partner ecosystems
?Collaborate with the PMA, who owns research, guest list execution, and logistics, while you contribute ideas, targeting criteria, and list logic
?Support CRM segmentation strategy by helping define and validate high-fit contacts for specific campaign goals
?? CRM, Campaigns & Follow-Up (Zoho One)
?Build and maintain Zoho Campaigns workflows: tagging, segmentation, sequencing
?Monitor and update Zoho CRM records with proper stages, tasks, and DNS next steps
?Collaborate with the PMA and branding consultant to ensure:
oCampaign content is submitted on schedule
oAssets are reviewed monthly and launched only after sign-off
???? Performance Reporting & Attribution
?Build and manage Zoho Analytics dashboards to track:
oCampaign performance (opt-ins, open/click rates)
oPipeline stage movement and lead source attribution
oFunnel conversion rates and stuck opportunities
???? UTM Tracking & Attribution Framework
?Develop and manage a consistent UTM tracking structure for all outbound marketing
?Implement UTM-enabled links and configure Zoho Forms + CRM fields to capture source/medium/campaign
?Monitor data integrity and troubleshoot with marketing/tech leads when discrepancies arise
?Analyze lead source and make recommendations to improve targeting ROI
???? Sales Systems & Support
?Schedule and prepare Core 4 meetings with relevant CRM data
?Send DNS follow-ups using pre-approved templates
?Maintain 100% CRM hygiene: notes, tasks, and next steps always up-to-date
?Alert Cory when leads need reactivation or reconnection
