Role Summary
You will operate as the COO’s senior partner—overseeing e-commerce operations, building and maintaining execution systems (Notion/ClickUp/Airtable), sourcing products and partners, assisting with community building, and handling C-Suite logistics (calendar, travel, property coordination). Success means on-time deliverables, frictionless executive operations, clean documentation, and reliable follow-through across projects.
Responsibilities
- Oversee day-to-day e-commerce ops (Shopify admin, coordination with CS/Ops/Finance) — to keep the engine running smoothly.
- Build and maintain systems in Notion/ClickUp/Airtable — so workflows are fast, trackable, and scalable.
- Source new products, partners, and vendors and manage outreach pipelines — to unlock growth opportunities.
- Support community building (light content coordination, posting calendars, partner follow-ups) — to strengthen brand presence.
- Own C-Suite logistics (calendar, travel, houses/planes, key admin) — to protect executive focus and time.
- Track deliverables and deadlines across teams — to ensure on-time outcomes and reduce bottlenecks.
- Create concise briefs and recaps — so decisions and next steps are always clear.
Qualifications
Must-Haves
- Demonstrated experience as an Executive Assistant / Ops EA in a fast-paced environment
- Strong e-commerce knowledge and hands-on Shopify experience
- Proven ability to build systems in ClickUp and Notion (Airtable a plus)
- Excellent written communication, discretion, and stakeholder management
- High ownership, impeccable organization, and proactive problem-solving
Nice-to-Haves
- Slack mastery and cross-time-zone coordination
- Vendor management, basic contract/admin familiarity
- Light analytics/reporting (dashboards, saved views)
